- As an Office Coordinator, you will provide administrative support in the Psychological Therapies section. You will provide office coordination, data and records management and leader support while ensuring the safety, privacy and confidentiality of all individuals who enter the building. Primary duties include:
- Act as a first point of contact for clients and vendors.
- Help with inquiries and in the handling of urgent calls.
- Provide administrative support including maintaining schedules and calendars as well as organizing and coordinating appointments and meetings.
- Support the development of Standard Operating Procedures and legal documents.
- Manage work schedules in InTime and liaise with Payroll to address any issues.
- Consult with the Calgary Police Service (CPS) Security and Building Maintenance for site concerns and act as an Occupational Health and Safety Lead for the area.
- Manage and update PIMSY, an Electronic Medical Records (EMR) system, and Outcome Measure 45 (OQ45), a psychological outcome measures tool as well as internal databases and spreadsheets.
- Follow retention and disposition requirements of the CPS records retention schedule and file classification system.
- Administer and score Psychological Tests under the guidance and supervision of a psychologist.
- Prepare consent forms and test packages and maintain a confidential filing system for each testing group.
**Qualifications**
***A Certificate in Mental Health or similar field and at least 5 years of relevant experience in administrative work in a medical environment or mental health environment such as outpatient counselling.
Knowledge and experience in Microsoft programs is considered an asset.
Success in this position requires effective communication skills, efficiency and thoroughness, focus on results, relationship building, service orientation, stress tolerance and team building and teamwork.
