Devon is looking for a **Rentals Services Administrator** to join our growing team and play a key role in delivering exceptional service across our residential rental portfolio.
**About the Role**
Your work ensures a seamless administrative experience for tenants from move-in to move-out while helping our teams stay informed, compliant, and organized.
**Schedule**: May be Tuesday to Saturday, Thursday to Monday, or Friday to Tuesday
**Key Responsibilities**
**Application & Lease Processing**
- Process credit and background checks according to company policies and privacy legislation.
- Coordinate approvals with Property Managers and collect security deposits and required documentation.
- Enter tenant data into RealPage and maintain all internal tracking sheets.
- Manage tenant changes related to parking, storage, pets, occupants, and ancillary services.
- Process lease agreements and ensure accurate data entry in RealPage.
**Rentals Administration**
- Process notices to vacate, late vacates, and evictions, update systems and internal reports.
- Update rent values for vacated suites and ensure systems reflect current market rates.
- Process move-in inspection paperwork and upload monthly documents to RealPage.
- Collect and upload tenant liability insurance documents to ensure compliance.
- Update vacancy reports and day-end sheets to reflect all tenant movement.
- Produce monthly Rent Day reporting (availability, rent roll, delinquency, ancillary revenue) and distribute to Building Managers.
- Process rent increases in compliance with the BC Residential Tenancy Act, creating and issuing notices as required.
- Manage all move-ins and move-outs in RealPage, including mid-month changes and prorated rent.
- Create custom reports such as audit reports and turnover reports for internal stakeholders and building owners.
**Qualifications**
- Minimum **2+ years of recent administrative experience**, ideally in property management or real estate services.
- Post-secondary training in office administration, business, or a related field preferred.
- Proficiency with MS Office, Excel, Outlook, Adobe Acrobat, and the ability to learn new software.
- Strong **numerical accuracy** and basic accounting skills.
- Outstanding attention to detail, organizational ability, and time-management skills.
- Ability to prioritize and multitask effectively in a busy team environment.
- Excellent communication and interpersonal skills when engaging with tenants, colleagues, and external stakeholders.
