Job Description Summary

UBC Building Operations creates outstanding university experiences by maintaining and operating the university’s learning environment in the safest, simplest, sustainable, most efficient way.

This role provides mechanical technical support for the maintenance and operations of core funded and service contract facilities at UBCV.

The Mechanical Project Coordinator monitors and coordinates personnel, consultants, contractors, funds and other resources required to implement all aspects of mechanical projects within Building Operations to ensure timely and cost-effective delivery.

Organizational Status

The Mechanical Coordinator reports to the Mechanical Technical Specialist, Building Operations.

Work Performed

Organizes, provides direction and monitors mechanical project work according to operational requirements, departmental policies, procedures and objectives.

Supervises, allocates, develops schedules and coordinates the work of Head Tradespeople and Project Teams employed in providing construction services to the customers; while ensuring compliance to the project budget and schedule.

Ensures that jobsite safety programs are in place and functional, and that workers under his/her jurisdiction work in a correct and safe manner and follow safe practices.

Consults with the Mechanical Technical Specialist, engineering, regulatory services, trades persons and other resources as required in the development, coordination and implementation of the scope, design and construction of small to medium sized new and renovation type projects.

Coordinates reviews and prepares estimates for projects as required and provides general assistance in the preparation of budgets, and related matters.

Works with project team, Regulatory Services and Records to ensure project compliance with University and departmental guidelines and as-built documentation.

Reviews project scope, drawings, materials and labour; monitors the computerized project schedule and budgets for compliance and ensures that all documentation is in place for the proper management of the projects, including all approvals, permits, payments, shutdown requests, change orders and financial commitments.

Maintains control and keeps records of project progress from start to finish for administrative purposes; participates in pre-job meetings and reviewing job scope, resource allocation and the project schedule; checks progress reports and change orders; contacts and orders ancillary contractors and materials to satisfy project and shop requirements.

Attends ongoing and final inspections of projects, ensuring that deficiencies are corrected in a timely manner; deals with logístical, material and schedule problems arising on the construction site; communicates the project status and schedule with clients; and ensures compliance to the project schedule and budget.

Provides reports as requested on the progress, status, scope changes, costs and future requirements of projects assigned using manual and computerized systems.

Communicates with stakeholders effectively using appropriate methods and tailoring content of the information to the needs of the audience.

Prepares and concise written documentation and presentations. Facilitates open communication and uses tact and discretion when communicating confidential information. Listens effectively and provides appropriate feedback.

Practices effective conflict management: anticipates, manages and resolves conflict as it relates to projects under their supervision.

Builds and maintains effective relationships to share information and establish meaningful partnerships and encourages a culture of project innovation.

Coordinates the execution of services agreements with outside contractors, including; supporting RFPs, supporting the negotiation of best pricing, creating purchase orders, paying invoices, scheduling with stakeholders, generating repair estimates, coordinating with in-house trades, coordinating access to building.

Carries out any other related duties as required in keeping with the qualifications and requirements of positions in this classification.
