**Groves Hospital Foundation - Foundation Assistant Job Description**:
**About Us**:
Located in Centre Wellington at Groves Memorial Community Hospital (GMCH). Groves Hospital Foundation works with the community to raise funds for life‐saving equipment & technology; to provide comfort and care for the patients we’ve been honoured to serve since 1935. In 2020, Groves Foundation completed a $20 Million Capital Campaign to fund the community’s share of a new hospital build and the associated equipment & technology to outfit the new facility. Following our Strategic Plan in 2024, the Foundation remains focused on expanding our annual fundraising capacity to meet the growing equipment & technology needs of GMCH.

**Overview**:
The Foundation Assistant will report to the Executive Director of Groves Hospital Foundation.

**Skills and Competencies**:

- Strong computer and technical skills; including proficiency with donor management software programs _(Raiser’s Edge)_, Microsoft 365 _(Office)_ Suite, etc.
- Excellent organizational and time management skills, ability to manage multiple priorities, organize and prioritize workflow while being self-motivated in a dynamic work environment
- Effective written and oral communication skills
- Skilled interpersonal, problem-solving, and decision-making abilities
- Previous experience in handling confidential information; good judgment, discretion, and initiative in dealing with private information and/or in responding to sensitive inquiries

**Specific Responsibilities**:
**Office Administration**:

- Front Desk; act as friendly and welcoming first point of contact for visitors/donors/hospital staff, in person and over the phone, including referring to appropriate Foundation staff
- Support the Foundation Team with day-to-day administrative activities and the coordination of special projects, as delegated
- Help to maintain an effective and efficient filing system
- Assist Office & Database Administrator in Board Responsibilities, including:

- Compiling, printing, and distributing packages for meetings
- Sending meeting requests and/or booking rooms for meetings
- Taking notes/Minutes during Committee/Board meetings, as requested
- Assist with updating website on the Oasis platform, as requested

**Finance & Donor Support**:

- Support the Office & Database Administrator with the following tasks as required:

- Donation entry: including appropriate receipting, tracking and preparation of thank you letters, and routine correspondence in a timely and professional manner in donor software program _(Raiser’s Edge)_
- Track and process monthly and/or yearly donations and pledges
- Download and process donations, including from online charitable platforms
- Maintain filing system of all donation documents, thank you letters, and financial reports, to assist in annual audit
- Reconcile monthly financials and prepare the appropriate financial reports, as needed
- Prepare, maintain, and produce donor reports and mailing lists as required

**Community Involvement**:

- Provide administrative support to Foundation events, as needed
- Assist in event details, both on & off-site, as requested by the Executive Director
- Coordinate with community groups/persons and/or attend Third Party & Community Events on behalf of the Foundation, as requested and required by Executive Director
- Promote a positive image of/act as an ambassador for Groves in the community
- Assist in scheduling of photo ops with donors/at events
- Assist Executive Director by printing and distributing materials at events
- Take high-quality photos at events or of cheque presentations, as requested

**Qualifications**:

- Minimum of two years administrative office support experience, preferably with a not-for-profit organization
- Prior knowledge and/or experience with Blackbaud/Raiser’s Edge preferred

**Compensation**:

- 25 hours per week (additional hours as required)
- Flexible working solutions and hybrid work model when possible
- Salary Range: $24 - $28 per hour with 4% vacation pay included, with option to enroll in and contribute to HOOPP Pension plan
- Dental and Health Benefits option available after 6 months

**Job Types**: Part-time, Permanent

Pay: $24.00-$28.00 per hour

Expected hours: 25 per week
