**Medical Receptionist at ACORN TO OAK FAMILY MEDICAL GROUP**
**A. POSITION TITLE**: Medical Receptionist
**B. REPORTS TO**:Physician Group & Office Manager

The Medical Receptionist is responsible for assisting in all front office tasks. This individual will be a member of a dynamic Family Physician’s office. The Medical Receptionist requires a professional and ethical work manner while interacting with all patients, family members, visitors, coworkers and Physician’s whether in person or over the phone. The Medical Receptionist must maintain confidentiality in all matters.
**D. DUTIES & RESPONSIBILITIES**
Medical Secretary:
1. Answer eight (8) phone lines; triage calls appropriately.
2. Book, Reschedule or Cancel appointments for all six (6) physicians and applicable Guelph Family Health Team staff.
3. Document and communicate messages in a clear and concise manner.
4. Assist in the completion of insurance forms, requests for information, chart transfers, etc.
5. Assist with Third Party Billing when applicable (i.e., patient invoicing, WSIB, Insurance Companies and/or Law Offices etc.).
6. Assist in the timely follow up and completion of all ‘Secretary Messages’ on the PSS Message Board.
7. Maintain a clean and organized workspace, front office and waiting room while following all Public Health Guidelines as it pertains to Health & Safety and COVID19/Infection Control protocol.
8. Ensure supplies and equipment are well stocked and in working order; notify management if supply order / replacement required.
10. Assist with the input of scans and faxes to patient EMR in a timely manner.
11. Assist with the processing and sorting of incoming and outgoing mail.
12. Other tasks as required, including but not limited to FHO ‘on call’ shifts.
**E. INTERPERSONAL ABILITIES & SKILLS**:
1. Ability to function effectively and efficiently both independently and as a member of the team to meet the needs of the office and patient(s) while collaborating with team members in a positive manner.
2. Ability to organize a wide range of job responsibilities and prioritize tasks to ensure completion in a timely manner.
3. Acknowledge one’s limitations in knowledge, judgement and skills and can function within those limitations. Asks for assistance when required.
4. A willingness to accept and implement feedback.
5. Recognize concerns and positively address these issues with management.
6. Ask direction when unsure of where or how to book appointments, and understand when further triaging is required by a medical staff member.
7. Perform all duties in an ethical and confidential manner.
**F. DOCUMENTATION & COMMUNICATION**:
1. Maintain accurate and concise documentation of encounters, including telephone conversations with patient(s), family members, office encounters, specialist information etc.
2. Ability to communicate effectively in both written and verbal format with all members of the team.
3. Effectively triage telephone calls and questions using problem solving skills, and understanding when a message needs to be triages through nursing staff or physician for further direction.
4. Listen and respond appropriately when interacting with patients and their families, coworkers and colleagues.
5. Demonstrate an openness to accept changes that support quality of care, improve office workflow and a willingness to learn new skills.
**G. EDUCATION & LEADERSHIP**:
1. Balance both team and individual responsibilities in order to contribute to the ongoing development of a positive work environment.
2. Continue to develop skills and knowledge to further understand the medical field.
3. Be prepared to contribute in a positive manner to problem solving.
4. Open to accepting additional duties and responsibilities in a positive manner.
5. Monitor own work to ensure quality is maintained. 6. Assist in the training and onboarding of new employees where appropriate.
