Overview Responsibilities
- The required services may include, but are not limited to the following:
- Adapt, maintain, and manage procedures and instructions for the organizations records systems.
- Recommend and implement modifications related to document storage, retrieval, archiving, and disposal activities such as:
- Define new data structures;
- Define data conversion strategy;
- Define data conversion specifications;
- Work closely with the users and Information Management Officer
- (IMO) to maintain and safeguard the database;
- Identify requirements for improvements to existing data structures by determining users’ information requirements and systems performance and function requirements; and
- Advise users about the efficient use of data;
- Review and update file plans, systems, tools, and practices.
- Implement information management support tools and systems, including file plans and classification structures, according to the client organizations and business lines, in compliance with the Master File Plan.
- Catalogue, Organize, identify, and classify existing information and electronic documents IAW the Master File Plan.
- Maintain, store and/or preserve information.
- Identify essential records. Essential records are to be identified within the context of emergency preparedness and business resumption planning.
- Advise the IMO and Chain of Command on IM issues.
- Provide advice and information to managers and employees with regards to information/ recordkeeping activities, processes, file plans, and systems.
- Coordinate information storage requirements and interface with Information Technology.
- Providing document and records management.
- Establish and implement metadata standards and guidelines.
- Analyze and report on the effectiveness of the implementation of information management standards.
- Identify and analyze content management issues and providing recommendations to management for improvement.
- Provide advice and guidance in the field of Recordkeeping as relates to Capacity Building, Legacy Records Management and e-Records Sustainability.
- Manage and maintain various databases and records management systems, including Microsoft Access and SharePoint (2019 version of SharePoint) and SharePoint Online
- Develop, update, and organize documentation using Microsoft Word, Excel, PowerPoint, and Outlook.
- Ensure accurate data entry, filing, and retrieval to support operational efficiency.
- Oversee records management procedures to ensure compliance with organizational policies.
- Support project management initiatives utilizing tools like Microsoft Project and other software solutions.
- Provide excellent customer service by responding to internal inquiries related to data or records.
- Facilitate effective communication across teams through written reports, presentations, and meetings.
- Demonstrate leadership in organizing workflows, managing time effectively, and prioritizing tasks to meet deadlines. Skills
- Must have experience within the last 4 years with:
- SharePoint On Prem (2019 version and Subscription:

- Experience in the last 4 years in analyzing, developing, modifying, and implementing information keeping system.:
- Proficiency in Microsoft Office Suite: Word, Excel, PowerPoint, Outlook, and Access.
- Strong knowledge of Windows operating systems and computer skills relevant to data management.
- Bilingual abilities in English and French are highly desirable for effective communication across diverse teams.
- Experience in project management using tools like Microsoft Project or similar platforms.
- Exceptional organizational skills with attention to detail in filing and records management.
- Effective written communication skills for report writing and documentation purposes.
- Strong interpersonal skills for customer service roles and team collaboration.
- Leadership qualities with the ability to manage multiple priorities efficiently.
- Time management capabilities to ensure timely completion of tasks within deadlines. Pay: $22.00-$30.00 per hour Benefits:
