Scope

**Location**: Remote working until a hybrid (office/home) flexible work arrangement is established. Office location, Peter Gilgan Family YMCA, 410 Rebecca Street, Oakville, Ontario.

**Work Schedule**: 35 hours per week

**Responsibilities**:
System Implementations & Projects
- Work with system partners to coordinate, plan and implement new systems and processes.
- Provide direction, training and support to cross-functional project team members and resolve issues and manage interdependencies.
- Leads project communication initiatives to ensure that all project team members understand roles and delivery responsibilities.
- Follows up and communicates frequently with all stakeholders to ensure project deadlines are met in a timely manner.
- Monitors project progress against the project plan, requirements, quality measures, and milestones.
- Champion new solutions and provide ongoing support to users during implementation and ongoing operation and use of the system.
- Work with Operational staff department Administrators to refine and define configuration and reporting needs.

Management Systems
- Assist staff with creating, updating and deleting course codes for memberships and programs.
- Export system files and data for the various departments as needed.
- Provide timely follow-up to members, staff and/or external partners on system support and queries.
- Liaise with staff to investigate and resolve system issues.
- Work with ActiveXchange to prepare, export, and transfer data to an sFTP server.
- Act as the main point of contact for the YMCA with the Management System Providers.
- Support the IT Department to manage and troubleshoot the Facility Access system equipment.

Ongoing Business Process Improvements & Training
- Ensure consistent business processes and practices across the Association.
- Develop and implement new business processes and procedures to improve efficiency and productivity.
- Evaluate employee needs, internal workflows and business processes.
- Work with Operations teams to resolve business issues utilizing processes and technology.
- Work with Program Supervisors, Managers, and Directors to review and update training materials for staff.
- Investigate new and upcoming features of the registration systems and identify areas that will provide enhanced support for Association objectives.
- Provide leadership and support through systems training.
- Manage the entry of activities and programs into the registration system.
- Engages with users across the Association to identify potential enhancements to tools and systems.
- Ensures staff understand and use new tools to ensure a high level of data integrity.
- Works closely with other departments to ensure data completeness and identifying and correcting inconsistencies.

Reporting
- Manage end to end process for reporting and responsible for its effectiveness and efficiency.
- Establish standardized procedures for the handling of reporting requests and facilitate the processing, scheduling, coordination, documentation and improvement of all reports.
- Produce regular reports that provide a holistic view of our business.
- Extract and provide data and information for Management and YMCA Canada annually.
- Automate reporting requirements and outputs as much as possible.

Administration
- Works with Membership and Camp management to review tracking and reporting of program statistics including space availability, waitlist lengths, and program registration/sales.
- Supports Membership and Camp management to maximize registration from waitlists.
- Audit registration transactions to ensure compliance with business processes.
- Ensures that service expectations for professional communication, documentation and record keeping are maintained at a high standard.

**Requirements**:

- Minimum 3 years administrative, systems, and customer service experience.
- Minimum 3 years’ experience leading a team in successful project implementations.
- Demonstrated experience with project management phases, techniques and tools.
- Experience with data exports and transfers.
- Post-secondary education in Business, Data and Information Management, Business Analytics, or equivalent.
