At Weston, you will have the opportunity to work within a multi-skilled team on a variety of projects that focus on housing, master plans and secondary plans, commercial and industrial developments, and urban infill. You will work with our internal team to manage the proposal issuance and tracking processes. Your responsibilities, under the guidance of the Director of Business Development and other senior staff, will include:

- Performing conflict checks using Deltek VantagePoint, Google Maps, and QGIS.
- Collaborate with planners, designers, and the Business Development Team to prepare and receive project sheets.
- Review and send project sheets and conflict check mapping to stakeholders for review and signature.
- Request file numbers from the designated authority after resolving any conflicts.
- Enter client information accurately and in a timely manner.
- Generate new proposals or work files based on the project sheets.
- Enter file information into PaperCut following Weston Consulting guidelines.
- Update master file lists with the assistance of the designated authority.
- Maintain proper documentation of the file opening process.
- Stay informed on planning and urban design practices.
- Perform database entry and management.
- Track and respond to Request for Proposals.
- Assist with maintaining project timelines and milestones.
- Adhere to internal standards for opening and closing files.
- Assist with document design, marketing packages, website maintenance, and various tasks related to development projects.

You will bring:

- High attention to detail and ability to follow instructions precisely.
- Strong organizational and time management skills.
- Proficiency in using Deltek VantagePoint, Google Maps, QGIS, and PaperCut (or a willingness to learn).
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively within a team.
- Experience in file management or a similar administrative role is preferred.
- Familiarity with the construction or consulting industry is a plus.
- Knowledge of geowarehouse platforms for property searches and purchases is desirable.
- 0-3 years of related urban design, project management, and planning experience.
- Ability to work with senior-level staff to provide support with research, writing, proposal preparation, and tracking.
- Ability to prepare compelling written documents for business development and project procurement.
- Strong communication and customer service skills.
- Proficiency in project management and graphics programs, including Deltek Vision, Excel, PowerPoint, Adobe InDesign, Illustrator, and Photoshop.
- Ability and skills related to working with site-specific analysis.
- An interest in graphic design would be an asset.
