Pure Life Physiotherapy is a fast-paced, multi-location rehabilitation network serving Surrey and the surrounding area. We’re looking for an **experienced Office Manager / MOA Team Lead** who can bring structure, accountability, and leadership to our clinic operations.

You’ll oversee front desk teams across multiple sites, coordinate scheduling, manage workflow systems, and ensure that every patient experience meets our high professional standards. This role is ideal for someone who thrives in a leadership position, understands medical administration, and wants to grow within a well-established healthcare organization.

**Key Responsibilities**

**Daily Oversight**
- Review and manage checklists at each location
- Ensure faxes, booking scripts, and intake forms are processed accurately
- Audit new patient records, billing entries, and booking errors daily
- Track and follow up on callback lists using Phone systems
- Review daily reports on patient feedback, complaints, and unbilled sessions
- Monitor schedule control, confirm appointment accuracy, and support daily dashboard calls
- Delegate tasks appropriately within the MOA team and verify completion
- Train new front desk hires and support schedule fills through callbacks

**Weekly Management**
- Conduct weekly call quality audits and one-on-one meetings with the front desk team
- Track answer rates, conversions, and performance metrics through Call Software
- Manage weekly staff scheduling across clinic sites
- Review “Did Not Book” lists and implement reconversion strategies
- Audit WCB dashboards and ensure tags and end dates are current
- Follow up on missing payments and incomplete chart entries
- Coordinate testimonial collection and patient satisfaction surveys (PSS)
- Support hiring procedures as required and assist with ICBC/WCB reporting edits

**Additional Leadership Roles** **Lead Setting & Quality Assurance**
- Oversee lead management across all booking portals
- Assign and audit follow-up lists to MOAs and ensure timely lead response
- Conduct quality assurance by screening new patient calls and follow-ups
- Provide performance feedback to Clinic Directors and Operations Leadership

**Marketing & Community Engagement**
- Track weekly leads and update marketing scoreboards
- Participate in marketing meetings to align front desk and ad campaigns
- Keep staff informed of active promotions and advertising messages
- Support clinic events, outreach, and professional networking with local physicians

**Qualifications & Skills**
- Minimum 2-3 years of experience in medical office administration or healthcare management
- Strong leadership and communication skills with the ability to train and motivate teams
- Excellent organizational skills and attention to detail
- Proficient with electronic medical record systems, scheduling platforms, and Microsoft Office
- Experience with billing audits, insurance coordination, and data accuracy
- Self-starter who can manage multiple priorities across multiple locations
