**Manager, Operations - Full time (35 hours/week)**

The Alzheimer Society of Durham Region (ASDR) is a community support service organization that provides programs and services to people living with dementia and their care partners in Durham Region. We work closely with other service providers to ensure quality care and support for our clients to achieve our mission to improve the quality of life of people living with Alzheimer’s disease or a related dementia and their care partners.

We employ administrative and fund development staff, educators, social workers, social service workers, nurses, occupational therapists, recreation staff, and volunteers who work together as a team to meet the needs of people living with dementia and their care partners.

Under the direction of the Chief Executive Officer (CEO), the Manager, Operations will provide information technology, operational and administrative support to the agency, its facilities, and its staff. The Operations Manager will work collaboratively with the Senior Leadership Team and Finance Manager as an integral member of the leadership team and will be responsible for managing all aspects of the agency’s IT, equipment, and facility needs, ensuring the daily operations run smoothly and as efficiently as possible. As a member of the leadership team, the Operations Manager will also participate in planning, budgeting, problem solving, and organizational initiatives.

Responsibility

**Operations/Facility Management (40%)**
- Provides facility and operational management of physical office space/configuration, office security, maintenance, and cleaning services.
- Manages all contracts with office vendors, including negotiation of maintenance contracts, tracking vendor pricing, and vendor billings including office equipment rentals/agreements, insurance, cleaning services.
- Manages facility/office lease agreements and acts as a liaison between the agency and property management.
- Responsible for procurement of general office supplies including implementing and enforcing processes and procedures.
- Works closely with Finance Manager in maintaining accurate asset inventories for audit and funding requirements.
- Develops, recommends, implements and evaluates administrative policies and procedures and ensures compliance with agency standards.
- Oversees the administrative property management functions, to include, but not limited to, asset management, predictive maintenance systems, inventory management, preventive maintenance, capital improvement projects, risk management and procurement.
- Oversees agency insurance renewals and initiates insurance certificate requests.
- Acts upon recommendations provided by the Joint Health & Safety committee with regards to facility maintenance, property management, and purchasing of office equipment.
- Acts as the main contact for staff and volunteers for office and/or administrative issues/needs.

**Information Technology Management (40%)**
- Leads the Information Technology function by providing oversight, direction and coordination related to organization-wide technology planning and utilization, to include integration of information systems, voice and data networks and telecommunications.
- Oversees the organization’s IT infrastructure, end-user support services, and telecommunications including liaising with external IT vendor.
- Works collaboratively with the IT provider to ensure a secure and quality IT infrastructure for the effective delivery of IT services across the organization without interruptions.
- Acts as first point of contact for staff and volunteers for administrative, phone, and IT end user issues/needs.
- Responsible for purchasing and allocation of all IT equipment.
- Maintains up to date inventory of all office equipment including laptops, peripherals, TV’s, audio/video equipment. Ensures all equipment is accurately assigned for staff accountability for tracking of equipment.
- Responsible for maintaining accurate asset inventories for audit and funding requirements.
- Manages relationships/agreements of office vendors/negotiation of maintenance contracts in conjunction with the Senior Leadership Team and CEO. Includes but not limited to tracking vendor pricing and contracts.
