The Real Estate Foundation of BC is a philanthropic organization that works to advance sustainable, equitable, and socially-just land use and real estate practices across what’s known as BC. We do this by funding projects, connecting people, and sharing knowledge.

We’re looking to hire a Grants Coordinator to join our team. This is a permanent position that reports to the Director, Grants & Community Engagement.

You have experience with Customer Relationship Management software, such as Salesforce, or a grants management system, as well as with Microsoft Office (Word, Excel, Teams and

PowerPoint), Zoom, Adobe Creative Suite, calendar management, process documentation, scheduling, file management, etc.

**About the Job**

The Grants Coordinator supports the grants team with administration and coordination, along with task and process planning, management, and delivery.

**Key responsibilities**:
▪ Understand REFBC grant funding criteria and priorities in order to explore funding opportunities with applicants and other interested parties, liaising with Grants

Program Managers as appropriate.

**Grant reviews and Board approvals**

Grants Program Managers when necessary.

▪ Facilitate small grant and special program approvals by the CEO, and small support approvals by the Director.

▪ Prepare and upload agendas and supporting documents for the quarterly grants meetings with REFBC’s board.

▪ Attend grants meetings and other meetings of the Board of Governors, as required

▪ Take minutes at quarterly and extraordinary grants meetings with the Board.

**Post-grant**

▪ Steward grantees through the funding agreement process; liaising with grantees on areas of concern, queries and/or adjustments as appropriate.

▪ Track grant reporting due dates and flag outstanding reports.

▪ Support the team, CEO, and finance manager to ensure prompt payments are made to grantees according to their payment schedule.

▪ Handle grant cancellations and follow up where required.

Grants Coordinator

▪ Provide information on upcoming grant installments to our finance manager for cash flow management purposes.

▪ Support implementation of impact assessment processes for grants and special programs.

**Communication**

▪ Liaise with the Communications Manager to ensure website information relating to the grants programs is up-to-date and accurate. Help support the grants team to provide timely info needed for annual reports, e-news, and social media.

**Records Administration**

▪ Work with the Data Coordinator to ensure online grant files and system records are updated in accordance with established best data-keeping practices.

▪ Support the Data Coordinator and Systems Specialist to maintain the Foundation’s

Grants Management System to ensure it meets the needs of applicants, grantees and

▪ Help coach the team in using systems effectively and efficiently.

▪ Manage database records, including reporting and portfolio analysis (including impact assessment) as appropriate.

▪ Carry out additional administrative tasks as required.

**Other Responsibilities**
- Develop relationships with grant recipients and other organizations.
- Actively participate in and contribute to strategic grant making initiatives such as impact assessment, grant program criteria
