**Community Mental Health**

Reporting to the Manager of Ambulatory Mental Health and Supportive Care Services, the Secretary works within a

continuous quality improvement framework which reflects TBRHSC's vision and mission of services. The Secretary

provides general administrative and specific program‑related services and assists the Mental Health Program in the

delivery of exceptional patient care. The secretary organizes the details related to day to day operations, creates and

maintains accurate statistical records, maintains patient records, interprets and transcribes complex clinical

documentation in a time sensitive manner.

PRIMARY RESPONSIBILITIES:

- Must provide patient care or services in a manner that is consistent with TBRHSC mission, vision, values and

reflects the philosophy of patient and family centred care.
- Must treat all information concerning patient affairs or illnesses and/or hospital business as confidential, privileged

information, which must never be discussed except in the course of duty.
- Must be accountable for ensuring the safest patient care and services and for recognizing and reporting safety

incidents or potentially unsafe conditions.
- Must abide by the Code of Conduct, work to foster an inclusive environment that honours each individuals

uniqueness, and provides a culturally safe experience through respect and compassion for all staff, professional

staff, patients, and community partners.
- Work within a multidisciplinary team to provide organized, effective and efficient care to clients presenting with

mental health concerns.
- Responsible for the welcoming, registering and scheduling appointments of new and existing clients.
- Act as an active participant in the delivery of a range of services provided by the Outpatient Mental Health program.
- Organize, coordinate, and monitor all non‑clinical operations of the program.
- Responsible for the management of medical records.
- Coordinate communication between the team, partners, and clients.
- Prepare and type/transcribe confidential correspondence, reports, statistics and other clinical documentation related

to Mental Health.
- Provide general administrative support and receptionist duties, including triaging calls.
- Organize and assist in coordinating Telepsychiatry/OTN in coordination with other areas of TBRHSC.
- Respond and handle inquiries, requests for information and/or verification of information, including clinical

information.
- Perform any other related duties as required.

EMPLOYMENT REQUIREMENTS:
Education/Experience:

- Completion of a two year related secretarial diploma program at the Community College level or equivalent.
- Minimum of 5 years' experience in Medical Office Administration.
- Experience/Training with Medical Terminology and Dictation/Transcription Skills.
- Experience in an electronic medical record environment, preferably with Meditech.
- Experience booking appointments and working with Telehealth equipment through OTN.

Skills/Abilities:

- Ability to work in a confidential setting both independently and as a part of a team, under time constraints, and with

varying work hours.
- Ability to type a minimum of 55 words per minute.
- Excellent organizational and administrative skills with a demonstrated commitment to confidentiality and accuracy.
- Ability to work independently, prioritize work and problem solve.
- Excellent interpersonal, conflict resolution, oral and written skills, and experience working with an interprofessional

team.
- Exceptional customer service skills and excellent telephone skills.
- Demonstrated sensitivity to multi‑cultural clientele and issues.
- Demonstrated experience interacting with clients with serious and persistent mental illness.
- NVCI and ASIST training.
- Excellent data entry skills.

Knowledge:

- Understanding and compassion for individuals and family members impacted by mental illness and addictions.
- Proficient in the use of computer software including, Microsoft Office Suite (Word, Excel, Powerpoint, Publisher)

Groupwise, Internet Explorer.
- Experience working within a multidisciplinary mental health team.

Salary Range: $25.260 to 25.838
