Executive Real Estate Assistant

ABOUT YOU
**Responsibilities**:
- Assist with the brokerage's day-to-day office operations.
- Scheduling appointments and logistics for the Broker of Record.
- Coordinate errands for the Broker of Record.
- Assisting the Broker of Record with property management and tenant interactions.
- Assisting with real estate transactions.
- Upload listings onto the Toronto Real Estate Board’s MLS (Multiple Listing Service).
- Prepare Listing documents, presentations, Agreements of Purchase and Sale, Amendments, Waivers and all other documents as required for the Broker of Record.
- Prepare correspondence for the office including letters and reports.
- Ensure complete digital records are maintained for all listings, transactions, upkeep client databases organize records in an complete manner.
- Manage client interactions on behalf of the Broker of Record.
- Proofread and submit marketing materials, and marketing materials for approval.
- Create and Manage Social Media posts (Instagram, Facebook) using Canva.
- General office administration and tasks as required by the Broker of Record.
- Job Hours are Flexible, 5 days a week, Full-time.
**Skills**:
- Real Estate Executive Assistant or Real Estate Brokerage experience as Office Manager, Administrator, or Team Assistant (preferred).
- Executive Assistant Experience (preferred).
- Confident and professional business etiquette in person and over the phone.
- Respectful of confidential and sensitive information alongside working knowledge of Real Estate Sales.
- High level of Organization and Attention to Detail
- Displays Integrity, Enthusiasm, Dedication & Motivation as part of your key drivers.
- Literate in various Social media platforms and is “tech-savvy”.
- Exceptional communication abilities (written & verbal).
- Intermediate Microsoft Office Suite including Word, working knowledge of MS Excel, Word, PowerPoint, and Outlook along with DropBox.
- Intermediate Google Suite knowledge including docs, drive, meet.
- Knowledge of TRREB, EasyOffer, Webforms, MLS is preferred.
- Available for occasional overtime hours / weekends

**Requirements**:
- Preference will be given to those with previous experience in Real Estate sales or administration.
- Real Estate License is an asset.
- Experience in property management is an asset.
- Must have a valid G license and reliable vehicle. Driving is required for this position, as needed.
- Friendly and professional image and attitude.
- Excellent written and verbal communication skills.

**Salary**: $25.00-$30.00 per hour
