Project Coordinator

**Overview**
Reporting to the Project Manager/PMO Director, the Project Coordinator will coordinate, track, proactively follow up and report on all activities on assigned projects. This includes organizing and chair team meetings, collaborate with all departments, liaison with the client and assist in the follow-up of the NPI (New Product Introduction) process, supporting execution of the projects.
**Main Responsibilities**
- Create, maintain, and communicate individual project plans, schedules and activity statuses in collaboration with the Project Manager/PMO Director.
- Facilitate communication within the internal Capcium team, ensures priorities and responsibilities are clearly understood by each team member.
- Track and proactively follow up on all project-related tasks; updates and maintains information within the different platforms/boards/tracking tools used.
- Identifies potential issues and makes suggestions for resolution(s) to the Project Manager/PMO Director.
- Organizes and chairs/participates in project /activity review meetings and distributes the minutes / ensures action items are identified and communicated.
- Replies to customers’ requests including and not limited to, update on the delivery of their order, documentation requirements, etc.
- Maintains and updates project information within SharePoint.
- Follows up with the client on different activities including, and not limited to, documentation approvals, deliveries of their API or other raw materials, etc.
- Assist the Project Manager/PMO Director in the follow-up of the NPI from receiving Client Purchase Order to release and shipment of the product.
- Work with Project Manager/PMO Director to develop, drive, and implement project goals.
- Manage communications and deliverables from all stakeholders for project.
- Escalates risks and issues, actively participates in resolution/mitigation.
- Establishes partnerships cross-functionally as necessary to ensure project success.
- Develops and maintains a strong team spirit with all team members.
- Participates in the development and improvement of new project tools and documentation.
- Contributes to process improvement by actively utilizing new practices, collecting and sharing feedback.
- Ad Hoc requests as required.
- Back up for this role is the Project Manager/PMO Director.
**Qualifications**
- Bachelor’s degree in science, or equivalent
- Minimum 2-3 years’ experience in a similar position
- Experience in pharmaceutical industry, an asset
- Proficiency in Microsoft Office (including MS Project, an asset)
- Able to manage several projects at different levels of priority with multiple deadlines
- Ability to work as part of multi-functional teams and to collaborate with various levels of management and employees
- Excellent interpersonal, organizational, prioritization, communication, leadership, and problem-solving skills
- Goal oriented and good decision maker
- Customer centric
- Works well as part of a team and independently
- Has strong work ethics and shows initiative
- Functional bilingualism (English and French), both spoken and written are required
