**HOW DO YOU FIT IN?**

The successful individual will have the following experience, education, and ability to develop these demonstrated skills:

- 1 year previous experience as an Administrative Assistant, Receptionist, or Paralegal
- Post-secondary education with a diploma, degree or equivalent from an accredited college or university considered an asset
- Proficient with Microsoft Office Suite Tools (Outlook, Excel, Word, PowerPoint)
- High degree attention to detail
- High degree of data entry accuracy is critical
- Conduct that aligns with company values, ensuring all stakeholders are considered in business operations.
- Strong organizational skills with the ability to adapt to shifting priorities, demands and timelines, to effectively prioritize and execute tasks in a time sensitive environment.
- Ability to troubleshoot and problem-solve.
- A team oriented, positive, and collaborative approach with strong work ethic to fit in with the existing team.
- Ability to work well under pressure and maintain composure in a fast-paced and changing environment.

**WHAT YOU WILL BE DOING**

**85% - Underwriting Administrative Assistant**
- Ensure all documents are accurately labeled and filed for easy retrieval.
- Requesting and acquiring necessary documentation for Underwriter’s review, such as Credit Bureaus, Titles, Corporate Search, Drive Bys, etc.
- Coordinate underwriters’ calendars, scheduling meetings, appointments and calls.
- Create agendas and meeting minutes for all meetings as needed.
- Compile data and assist in generating basic reports.
- Keep accurate records of communication, decisions, and actions taken during the underwriting process.
- Handle routine administrative tasks, such as photocopying, scanning and mailing documents.
- Assist Underwriters with miscellaneous tasks as needed.
- Comply with regulations including but not limited to Real Estate Act, Privacy Act, Securities Act, Business Corporations Act, Fair Trading Act/Consumer Protection Act, (all legislation and regulation in all provinces we do business in) etc.
- Review and submit for approval invoices provided by third party vendors such as, but not limited to: Pipeline CRM, FundMore AI., PCHS, Maximum, Velocity, Lendesk (Finmo), Filogix
- Prepare and submit for approval all monthly Expense Reports (Visa and Personal) for all members of the Underwriting group.
- Coordinate all travel related activities for Underwriters including booking flights, car rentals and hotels as necessary and coordinate shipping materials needed for meetings.

**10% - Other Administrative Activities**
- Assist Underwriters in completing the mortgage renewal process
- Assist with administrative duties related to Arrears and Enforcement Management
- Provide backup support for Reception when required
