**Some of what you will do**
Act as the first contact to all external visitors to Staples corporate head office. Represent Staples to the highest degree in a professional, friendly & efficient manner, including answering all incoming telephone calls to Staples head office. Main point of contact for Security - FOB, reporting, PCI, HIVE, Corporate admin for Travel related partners and programs (Vision/Amex/Enterprise Car rental as examples)

**Specifically, you will**:
Incoming Calls (Customer Service25
- Responsible to receive, process, and appropriately direct incoming telephone calls to Home Office.
- Act as an effective first-line resource in response to requests for information from customers, suppliers and employees.

Greeting Visitors/Safety and Security: 30%
- Greet all visitors to the site and process their arrival, including photographing all visitors and issuing daily photo ID visitor badges, informing associates of each arrival
- Daily administration with our Building Access Control system (temp fobs/re-sets)
- Facility Services reporting
- Issue temp fobs to associates as required
- Responsible for FOB creation, modifications and reporting
- Creation of photo id badges (permanent)
- PCI reporting

Corporate Administration: 40%
- Identify process improvements opportunities related to the Front Desk
- Onboarding new users to HIVE
- Onboard new users to Concur (travel)
- Update any profile information in Concur (dept changes, GL codes etc)
- Maintain list of BTA and P Cards (Amex)
- Reconcile HO P Card
- Monthly Travel reporting
- Open Past ETA HO related WO/PO
- Eway approval screening - Retail
- Any Pandemic related reporting (Attendance etc)
- Back up support for Mail Centre duties

Emergency Response: 5%
- Provide first contact for emergency calls received by following Staples emergency procedures
- Manage and maintain defibrillator and first aid kit at reception area
- Contact appropriate HO personnel in any emergency situations
- Contact appropriate HO Facilities personnel when required for any facilities emergency

**Some of what you need**
- High school diploma required.
- Post-secondary education an asset.
- Minimum 3 years of previous administrative role ideally with reception experience
- Ability to verbally communicate clearly and effectively.
- Well-developed PC skills, including Microsoft Word, Excel, and PowerPoint.
- Bilingualism an asset
- Ability to handle multiple tasks simultaneously.
- Maintaining a professional appearance at all times.
- Competent in making choice, independent action or judgments.
- Sound knowledge of safety & security procedures relating to a reception area within a large corporate environment.
