**Job Profile**:
This position reports to the Supervisor of Sport Development and Facility Bookings. The Administrative Service Representative will provide positive and professional administrative support to the sport and facility bookings operations. Providing excellent customer service, this position will support one-time and ongoing rentals of all city-owned facilities. This position is responsible for the following duties:
**What you will be doing**:
- Responsible for processing rental requests (reviewing requests, scheduling events, entering contract details, setting payment schedules).
- Works closely with minor sport and community organizations to support their ongoing facility rental needs.
- Reviews supporting documents for rentals i.e insurance, alcohol checklists, special occasion permits.
- Ensures positive and professional customer service for internal and external customers regarding facility rentals. i.e. customer complaints, scheduling conflicts, terms of use.
- Monitoring and editing of web content.
- Research and analysis of data primarily using excel and Activenet Reports i.e. monthly statistics.
- Reviews and processes claims, invoices, journal entries, permits etc.
- Records management for the division.
- Scheduling and coordinating of meetings, room bookings & events (could include evenings).
- Creation and distribution of materials.
- Ensures financial requirements are adhered to.
- Responsible for formatting/entry of applicable divisional Policies and Procedures.
- Performs other related duties as assigned.
**Education**:
College Diploma in Office Administration, Sports Management, Business Administration or similar.
**Experience and Knowledge**:
- Two (2) years experience in a related field with a minimum of one (1) year experience with Activenet Facility Management is required.

- Proof of your current and valid certificate(s) and/or educational qualifications.
Worker Health and Safety Awareness Training Certificate from the Ministry of Labour
**Your compensation**:
The ASR positions are within Grade 5 of the inside workers union Salary Schedule. The annual salary range is $57,567 - $61,188. These positions work 35 hours per week, in accordance with the collective agreement.
**Hours of work**:
The current regular hours of work are in accordance with the CUPE 1882 Inside Worker's Collective Agreement, (35 hours per week), Monday to Sunday, and may be scheduled between 6:00 a.m. to 11:00 p.m.
