Reporting to the Director - Research, Innovation, and International Relations, the Graduate Studies Coordinator works under the guidance of the Assistant Dean Graduate Studies to support NOSM University’s graduate programs. On a day to day basis, this position assists with the coordination of activities for the graduate programs, in particular supporting the core graduate studies faculty and the graduate students.

This position is covered by the Terms and Conditions of the OPSEU Unit 677 Collective Agreement (Unit 2). A copy is available on the NOSM University website.

**Responsibilities**:
Tasks include but are not limited to the following:

- Acts as the point of contact for NOSM University graduate students, faculty, and related stakeholders and partners (i.e. universities).
- Assists with the admissions process, maintaining appropriate records and providing correspondence or reports as needed.
- Gathers and analyzes data, maintains appropriate records, compiles information and drafts various reports related to graduate studies.
- Provides support to graduate students to facilitate their educational and research activities, including guidance relating to NOSM University procedures and policies.
- Provides support to faculty regarding graduate programming, such as admissions, courses, enrollment.
- Coordinates scheduling or meeting support needs for core faculty and graduate students, such as thesis defence.
- Assists with, or conducts presentations, on NOSM graduate studies policies and procedures.
- Coordinates the planning of events.
- Updates and maintains graduate studies policies and procedures. Participates in the development of new policies and procedures in conjunction with key stakeholders.
- Contributes to the development of strategic or operational plans, as well as ensuring successful completion of assigned initiatives.
- Promotes graduate studies throughout NOSM University by liaising with internal and external partners.
- Coordinates general administrative responsibilities to support the programs.
- Updates the website and develops other promotional materials.
- Participates on various committees, as designated, on behalf of the Research and Graduate Studies Office.
- Performs other duties as assigned.

**Qualifications**:
**Education**:

- A graduate degree in a related discipline (health, social sciences) from a recognized university with Canadian accreditation or an equivalent combination of education and experience is required.

**Knowledge, Skills and Abilities**:

- Minimum of three (3) years of related experience in an academic research setting is required.
- Understanding of graduate studies in an academic environment
- Be familiar with academic administrative processes (Admissions, recruitment, learner support services, student tracking and related databases)
- Understanding of course development and delivery, including working with learner management systems (i.e. Moodle)
- Demonstrate familiarity with granting councils (Federal, Provincial, and non-profit organizations), academic industrial research
- Experience working with computer systems and software such as Microsoft, Internet, E-mail, and website editors
- Experience in coordinating various tasks under tight deadlines
- Ability to communicate effectively and clearly using a variety of media
- Work within the established organizational practices, protocols and policies

**Language**:

- Must be able to communicate effectively in English (verbally, written and comprehension)
- French/Indigenous language skills would be considered asset
