Position Overview

- Effectively work with customers, adjusters, sub-contractors and employees at all levels of the organization
- Ability to prioritize and meet all assigned time lines
**Responsibilities**:
- Coordinate and manage different kinds of projects and jobs from initiation to completion by using excel, word, outlook, and other company software. Keep track of the job progress and let management know of any uncertainty within each project
- Schedule appointments for subs-trades, shop staff and Project Managers to ensure work is completed in accordance with the scope of work
- Ensure all parties involved in the projects are aware of any changes and updates to scope of work and change in schedules by effectively collaborating with each party
- Start job numbers, receive and upload timesheets, hazard assessments, and other required documentation on a regular basis
- Acquiring estimates from sub-trades and suppliers and issue purchase orders as required, as well as, keeping track of purchase orders and matching incoming invoices towards issued purchase orders
- Report to management with monthly/quarterly sales and cost report by keeping track of labor, material and subtrade invoices
- Collaborate with the accounting department daily to work on cost sheets, Valour payables and receivables matters, invoicing and payment processing. Occasionally assist safety department with job safety documentation and SECOR certification
- Organize, file, scan and upload job documentation such as drawings, schedules, quotes, timesheets, invoices, etc. related to each job
- Send out invoices, progress sheets, WCB, insurance and statutory declarations to customers as required
- Other duties such as entering expenses, ordering shop supplies, creating job labels, covering reception, etc.
**Qualifications**:
- 3 - 5 years work experience in an intermediate to senior administrative support capacity is an asset
- Business Administration Diploma, Project Management Certification, or related certificate is an asset
- Exceptional skills in Microsoft office programs including Word, Outlook and Excel. Certification in Advanced Excel will be considered an asset
- Extensive data entry experience with a high degree of accuracy
- A solid understanding of the accounting billing cycle
- Clear understanding of construction terminology will be considered an asset
- Previous work in the insurance industry, construction, restoration or mechanical industry is a definite asset
- Valid Driver’s License and a reliable mode of transportation.
- Flexible to work overtime (including evenings and weekends) as required
