**The Opportunity**:
**Responsibilities**:
- Oversee daily office operations, ensuring smooth and efficient workflow.
- Manage multiple Outlook inboxes, ensuring timely responses and appropriate action.
- Oversee insurance requests and ensure proper documentation and follow-up.
- Coordinate boardroom bookings and resolve any scheduling conflicts.
- Manage file archiving, ensuring proper organization and accessibility.
- Oversee vehicle permits and insurance, ensuring compliance and renewals.
- Manage ordering and pickup of lunches for company meetings and events.
- Format, compile, and assemble reports and other documentation to meet company standards.
- Assist in preparing reporting templates for Project Managers.
- Prepare deliveries to meet time-sensitive deadlines.
- Serve as the point of contact for building maintenance issues and requests.
- Manage and reconcile the local office MasterCard, ensuring accuracy and adherence to budget.
- Maintain and monitor office supply inventory, placing orders as needed.
- Provide additional administrative support to the OA Team and all staff.
- Distribute all incoming and outgoing mail, and coordinate courier preparations.
- Perform other duties relevant to the position as required.
**Qualifications and Requirements**:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat.
- Minimum 5 years' experience as an Administrative Assistant, or similar role.
- Strong organizational skills with a high level of attention to detail and the ability to meet deadlines.
- Proven ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Capacity to manage multiple responsibilities simultaneously while maintaining accuracy and attention to detail.
- Excellent verbal and written communication skills in English. Bilingual proficiency in French and English is considered an asset.
- Conducts and presents self in a professional manner, maintaining a professional image and demeanour to internal and external clients.
- Ability to work collaboratively as part of a team, fostering a cooperative and productive work environment.
- Ability to work independently with mínimal supervision while taking initiative to improve processes and outcomes.
- Strong alignment with organizational policies, values, and a commitment to excellence.
- Willingness to learn and adapt to new office software or technology as required.
- Valid driver's license and access to a vehicle.
