**Overview**

As coordinator, you will play a key role in supporting our clients, contractors, and both our in-office and remote staff. This is a fast-paced, professional environment where you’ll process and manage work orders for transcription, coordinate scheduling, and ensure smooth communication between all parties.

You must be adept at working effectively with our clientele while displaying tact, diplomacy, and a high level of confidentiality.

This position goes beyond typical admin support. We are seeking someone who can step in and cover core tasks when needed, proactively manage intake, communicate efficiently with clients and contractors, and demonstrate strong problem-solving and adaptability skills. The ideal individual will have above-average time management skills and the ability to prioritize and re-prioritize as new tasks are received. Must excel at working under pressure with multiple tasks on the go, shifting timelines and priorities. The ability to remain calm and focussed while meeting deadlines is critical.

**Responsibilities**:

- Manage busy calendars: book, reschedule, and review for conflicts
- Handle work orders from intake to delivery, including client and service provider communication, quality control, and invoicing
- Serve as a first point of contact for both clients and contractors
- Communicate professionally with both clients and contractors
- Maintain and organize digital and paper files, including scanning, filing, and basic administrative support
- Oversee, create, and edit PDFs and other documents using Adobe or similar tools
- Step in to provide coverage for staff during absences and offer general support to the team

**Required Skills and Experience**:

- Excellent English, both spoken and written
- Ability to stay calm and friendly under pressure
- Comfortable with shifting timelines, priorities, and urgent requests
- Strong organizational, time management, and follow-up skills
- Attention to detail
- Experience with Microsoft Office, Google Workspace, and Adobe PDF management
- Experience or strong aptitude for learning new software quickly
- Professionalism, discretion, and respect for confidentiality in all matters
- A collaborative, solutions-focused approach, comfortable asking questions and seeking clarification
- Interest in legal, court, or transcription services (prior experience is an asset; willingness to learn is essential)
- Minimum one year of previous administration experience
- Not afraid to ask for help when required
- Polished and professional

**Bonus Assets**:

- Previous experience in legal, court, or transcription management environments
- Familiarity with remote team communication and online workflow tools
- Advanced PDF or document management skills

Pay: From $41,000.00 per year

Additional pay:

- Overtime pay
