Proposals Specialist

Reporting to the Marketing & Business Development Team Lead the Proposal Specialist will be responsible for assisting with preparing proposal content as required for a variety of large and small pursuits.

They will participate in the proposal review process, content gathering and writing, go-no-go, weekly Business Development meetings, help prepare marketing collateral for pursuits (CVs, Project Sheets, Spreadsheets, Slide Decks, etc.), and will assist with the preparation of additional marketing materials for presentations and interview preparation materials. Additionally, this role will include administrative tasks including assisting with procurement site searches, distribution of materials to leadership and team members, creating records and updating Customer Relationship Management (leads, opportunities, projects).

Must have the ability to obtain Secret Clearance.

**KEY RESPONSIBILITIES**
- Support the bid proposal process through coordination with stakeholders, other marketing team staff, consultant team members, Subject Matter Experts (SMEs)
- Writing/editing, finalization, assembly, internal reviews, quality control and submission
- Assist with the preparation of proposal work plans
- Assist with client/stakeholder liaison during the bid process
- Tender and proposal document management
- Assist in the creation and maintenance of associated illustrations, graphics, and templates
- Support the creation and maintenance of the proposal content database/management system
- Compile and maintain project experience data, including case studies and CV’s
- Support marketing initiatives such as internal and external announcements, social media posts, etc.
- Proofread and format various documents for proposals and marketing purposes

**REQUIRED KNOWLEDGE AND EXPERIENCE**
- 3-5 years of experience in a proposal writing/coordinating role, ideally in an architecture/engineering/construction environment
- Diploma or degree (business, marketing, graphic design, communications or equivalent experience)
- Proficient in Microsoft Office Suite, specifically Word, Excel, and PowerPoint
- Proficient in Adobe Creative Suite - specifically Adobe InDesign and Acrobat, working knowledge of Adobe Illustrator, Photoshop
- Creative, strategic, forward-thinking mindset
- Ability and willingness to make meaningful contributions with a strong voice
- Excellent grammar, editing, and writing skills are required
- Adaptable to a flexible work schedule when required to meet deadlines
