Service Writer/administrator

**Job Title: Service Writer / Administrator - Surrey, British Columbia**
Anticipated Term: 18-Month Maternity Leave Coverage (Starting December 8, 2025)
In this role, you will serve as the key liaison between customers, our head office, and the service team—coordinating technician schedules, documenting service jobs, and ensuring seamless customer service and internal communication.
**Responsibilities**:
- Build and maintain strong customer relationships while overseeing repair coordination.
- Maintain up-to-date customer profiles and contact information.
- Monitor customer accounts for upcoming service needs or scheduled maintenance.
- Prepare cost estimates including time and required parts for each job.
- Perform parts functions for the role such as sourcing, ordering, receiving and managing the inventory of parts.
- Schedule appropriate service technicians using our operating system (Intellidealer / CDK).
- Opening / Closing work orders and invoicing customer for service work performed.
- Communicate job status, costs, and parts requirements clearly with customers.
- Book service appointments and relay customer concerns accurately to technicians.
- Document service and repair details accurately in the company work order system.
- Ensure clear and professional communication between all parties involved.
- Previous experience in a parts support or service coordination role would be considered a strong asset.
**Requirements & Skills**:
- Prior experience as a Service Writer, Administrator, or in a similar administrative or customer service role.
- Strong computer literacy and familiarity with office software (Word, Excel, etc.). Experience with Intellidealer / CDK preferred.
- Exceptional customer service and verbal communication skills.
- Ability to relay technical issues from non-technical customer descriptions.
- Detail-oriented with strong organizational and record-keeping skills.
- High school diploma or equivalent preferred.
**Work Environment & Physical Requirements**:
- This is an administrative position located in a conventional office setting.
- Your own dedicated workstation will be provided.
- Regular interaction with service personnel in adjacent shop or yard, PPE is required in those areas.
- Ability to sit for extended periods and use a computer is essential.
- Occasional movement within the facility to coordinate with technicians or access records.
- Light lifting of parts, office supplies or documents (up to 30 lbs.).
**Location & Schedule**:
- Onsite position at our Surrey branch.
- Regular hours: Monday to Friday, 8:00 AM - 4:30 PM (30-minute unpaid lunch).
- Travel is not anticipated.
**Compensation & Benefits**:
- A Service Writer / Administrator role can range from $20.00 - $31.00 hourly. (dependent on experience)
