**Responsibilities of the Events Administrator**
- Serving as the main contact for delegates and helping them plan their attendance through regular communications (filling out their bios, details re: event agenda, hotel bookings, flights etc.)
- Assist with scheduling 1-2-1 meetings for attendees
- Sending out event calendar invites to all attendees
- Keeping event websites updated with new registrations and logos
- Maintaining planning softwares
- Assisting with creating onsite print materials that include event badges, show guides and signage
- Researching and booking event entertainment and onsite activities within assigned budgets
- Booking travel and accommodations for both Speakers and Staff
- Maintaining event inventory and re-ordering as required
- Seeking feedback, advice, and clarification of processes from senior team members to ensure quality of work
- Keeping up to date with current industry trends, market activities, and the competitive landscape
- Building and maintaining strong relationships with clients
- Collaborating with other departments to ensure event success
**Qualifications of the Events Administrator**
- A background of Special Events Planning, Hotel Management, F&B Management, Hospitality, Tourism & Leisure or other related program an asset
- Multi-task oriented with superior organizational skills, customer relations experience and a positive attitude
- Excellent written and verbal communication skills
- General business acumen and an understanding of Fortune 1000 companies
- A strong desire to be a team player and must be capable of handling tight deadlines
- Must have working knowledge of Microsoft Office (Word, Excel, PowerPoint)
- Comfort with the Adobe Create Suite, specifically InDesign and Photoshop an asset
- Must hold a valid passport plus any other required documents for travel to the US and Europe
- Manual labor will be involved onsite and will include activities like setting up signage, wheeling event cases, moving tables/chairs, long hours and lots of walking on the 3 event days
Pay: From $43,000.00 per year
