**Job description**

The Warranty Administrator will be responsible for processing warranty and internal repair orders for multiple dealerships, as well as assisting with various duties as assigned.

**Main Responsibilities**
- **Must have prior experience** as a Warranty Administrator in a car dealership.
- Submit warranty claims in compliance with dealership policies
- Close out all warranty work orders daily
- Create and submit all warranty claims and extended warranty claims
- Follow up on outstanding warranty claims to maintain up-to-date receivables
- Identify exceptional cases for potential special agreements with the Head Office; complete required documents and follow up
- Analyze and resubmit denied claims by the manufacturer/supplier or obtain authorization for cancellation
- Stay updated on new technical bulletins and open recall campaigns
- Ensure claims comply with accurate documentation for audit purposes
- Collaborate with accounting and Service Manager on warranty follow-up, including missing claims, charge backs, and denied claims
- Maintain warranty claims acceptance rates equal to or above zone averages, with claims below 60 days having a zero balance
- Verify claimed amounts align with Head Office criteria
- Train internal personnel on warranty provisions or changes
- Promptly process warranty claims, maintaining good computer skills and effective verbal and written communication
- Stay updated on all factory recalls and announcements
- Assist the Service Manager in arranging parts shipments to the factory and resubmitting rejected claims promptly
- Reconcile all warranty receivables and collaborate with the accounting department for payments
- Keep track of warranty parts by noting repair order number, replacement date, and disposal date (electronically)
- Ensure defective parts are returned to the respective Head Office
- Maintain all service and customer records as required by the Head Office
- Explain warranty provisions to new customers
- Obtain prompt payment on claims

Maintain flexible working hours as per company needs.
