**Position Description**:
We are looking for a scheduling coordinator to join the Division of Paediatric Medicine team. In this position you will be involved with scheduling physicians and trainees for on-service, on-call and back-up coverage for our busy inpatient unit. This is a hybrid working environment - you will be on-site and working from home (schedule to be determined in collaboration with the Business Operations Manager).

**Here’s What You’ll Get To Do**:
Inpatient Unit Scheduling
- Assist in physician, trainee, and physician extender annual schedule planning, organization, and maintenance across the schedule blocks
- Create, update and distribute monthly block schedule including updating MedRez (or current scheduling software) and Lotus Notes
- Produce scheduling reports to assist the Inpatient Unit Education Director in managing monthly and annual blocks with respect to staffing numbers
- Determine gaps in service coverage and problem-solve to help to find alternate individuals to cover day and after-hours shifts
- Maintain absence-related (e.g., illness, personal days, vacation) spreadsheets for trainees and physician extenders for scheduling and tracking purposes
- Track/approve/decline all proposed trainee and physician extender block changes and requests for time off the units
- Track annual long weekend and holiday coverage, as well as back-ups shifts activated, to schedule equitably
- Administrative Support
- General administrative duties including calendar management and document management
- Input scheduling data into computerized scheduling databases
- Management and reconciliation of scheduling material for the division
- Recording minutes of scheduling meetings when necessary
- Organizational Responsibilities
- Accountable to align activities and performance with strategic goals and objectives of the Hospital for Sick Children
- Adhere to Hospital standards, policies and procedures
- Participate on hospital/area specific committees as required

**Here’s What You’ll Need**:

- Minimum Educational Requirement: Degree or Diploma in Health or Business Administration or a related program
- Job Related Experience Requirement: 2 years administrative and coordination experience, preferably in a hospital environment
- Proficient with computer systems and software including Microsoft Office (Excel, Teams, etc.).
- Ability to multi-task, prioritize and reprioritize in an environment of constant change
- Strong interpersonal and communication skills
- Committed to customer service
- Organized, attention to detail, and effective time management skills
- Demonstrated problem-solving abilities and initiative
- Ability to work independently and collaboratively as a key member of the Paediatric Medicine team

Employee Type: Full-Time, Permanent
Hours of Work: 35 hours/week (Monday-Friday)
