**Reports To**:Saanich Peninsula Hospital Medical Staff Association (MSA) Executive

**Duration**:Initial contract to June 30, 2026 with intention to renew annually (long term commitment preferred)

**Location**: Home, Saanich Peninsula Hospital, other where appropriate (applicant needs to be based on southern Vancouver Island due to in-person duties)

**Overview**

**Key Responsibilities and Duties**

At the direction of the MSA Executive, the Coordinator is responsible for:

- Coordination and scheduling of meetings of the MSA, and meetings between the MSA (or representatives of the Group) and the Health Authority;
- Administrative and clerical services for meetings of the MSA and meetings of directors, including preparation of meeting packages, agendas, briefing and discussion documents, minute taking for meetings and arranging for meeting logistics (food order/room bookings);
- Maintenance of records for meetings and decisions of the MSA and of directors;
- Tracking and preparation of reports on major areas of activity and project progress regarding physician engagement;
- Attendance at MSA meetings, meetings with Health Authority Representatives and the Saanich Peninsula Medical Staff events;
- Communication with and amongst the MSA members, directors and others, as required to follow up on action items and develop strategies to address issues;
- Coordination of submitted projects/initiatives and analysing data, researching and advising on complex issues;
- Maintenance of records for financial reporting analysis, as required;
- Training of MSA executives on the use of the Facility Engagement Management System (FEMS);
- Provision of up to date and timely financial information to the appointed MSA accountant and response to their queries;
- Liaise with the Doctors of BC Engagement Partner on matters related to the operations, projects, and programs of the MSA, as appropriate.

**Skills & Qualifications**
- Degree or certification in disciplines such as health administration, project management, health policy, and/or community development, or at least 5 to 10 years’ experience in an equivalent combination of relevant education and work.
- Strong knowledge of health regions and acute-based health care services. Experience working with physicians and health authorities preferred.
- Demonstrated leadership skills with experience in leading complex change.
- A solid track record in stakeholder engagement and experience working with multiple stakeholders and groups.
- Experience with quality improvement and evaluation.
- Diplomatic problem-solving and conflict-resolution skills.
- Exceptional organizational, delegation, presentation, communication, facilitation, and relationship-building skills.
- Project and budget management experience.
- Ability to handle multiple projects, meet tight deadlines and work independently, as well as in a team environment.
- Excellent computer skills (i.e. Word, Excel, Outlook, and PowerPoint).
- Must be willing and able to travel locally. Evening meetings (in person and via Zoom) are common and required.

Expected hours: 10 - 15 per week

Schedule:

- Evening shift
- Monday to Friday
- Weekends as needed
