Academy is a well-established and fast-growing fabrication company with location in both Onoway and Edmonton, AB. We service a wide rage of industries which includes oil & gas, mining, and other heavy industrial sectors.
**Job Purpose**
The Project Administrator is a critical member of the project team who is responsible for the accurate and timely completion of a variety of administrative tasks required to support the needs of the project teams, vendors and subcontractors.
**Roles and Responsibilities**
- Solicits assignments from the project manager regularly to ensure proper work distribution
- Participates in daily internal meetings and project meetings as directed and creates meeting minutes
- Sets-up and maintains project management files in accordance with departmental standards. Exercises due diligence in managing customer changes:
- Identify changes by reviewing all IFC drawings, drawing revisions, and customer requests
- Manage the regular maintenance of Spool Tracker amongst all departments
- Reviews all incoming customer drawings, assign division, Change Order Requests (CORs), if applicable
- Progress reporting on document/drawing status / maintaining KPIs (Key Performance Indicators)
- Assists in compiles data for the invoicing process as required
- Assists in subcontract vendor management as directed
- Assists in coordinating drafting of fabrication drawings as needed
- Sending, receiving, and filing drawings and documents to/from drafting subcontractor based on Project Managers direction
- Updating internal tracking system with all drawings/revisions and notifying the required personnel in the required departments of drawing receipt
- Separating drawing packages from client and/or drafting subcontractor, filing, and distributing amongst required departments
- Management, distribution, and hard copy release of spool drawings to all required departments;
- Control over spool drawing modification, distribution, and issuance (as per procedure) during its whole lifecycle and subsequently updating all related logs/trackers
- Assist in reviewing shop drawing accuracy to its isometric
- Management of RFI filing and distribution system
- Coordinate with Quality Control department to ensure timely submission of Quality documents
**Requirements**:
Education
- Project Management Post-Secondary training is preferred
**Qualifications**:
- 2+ years’ experience in a project admin (or equivalent) role is preferred
- Industry specific trade training would be considered an asset
- Computer Literacy is required
**Skills**:
- Advanced Microsoft Suite skills
- Excellent written and verbal communication skills
- Very strong analytical, attention to detail and problem-solving skills
- Exceptional organization and time management skills
- Experience working in a fast-paced environment with changing needs

**Salary**: $45,760.00-$60,320.00 per year
