**Title**: Operations Assistant
**Location**: 24 Napoleon Road, Barrie
**Reports to**: Director - Operations
**Job Purpose**: Provide the Director of Operations and Operations Management Team with Administrative and Operations support on a variety of projects and tasks.
**Key Responsibilities and Accountabilities**:
- Provide general administrative support to the Director of Operations and Operations Management Team as required. Examples include, but are not limited to: filing, file creation & maintenance, printing & scanning documents, drafting communications, data entry, analyzing data/information, preparing reports, submitting purchase requisitions, setting up equipment in boardrooms, greeting guests in Operations Office, etc.
- Maintain Operations office area (including Operations Boardroom), ensuring the Operations Office is well stocked (Includes placing supply orders, scheduling maintenance on equipment, etc.), organized, clean at all times, submitting maintenance Work Orders on behalf of the Operations Management Team and follow-up until work is complete.
- Maintain Director of Operations and Operations Management Team schedules by planning and scheduling meetings, conferences, teleconferences and travel arrangements (Both domestic and international) as requested.
- Organize meetings involving several members of management including responsibility for creating agendas and taking and distributing minutes of the meetings.
- Run various errands for the Operations Management Team (i.e. lunch pick-up, purchase supplies, etc.).
- Assist in the preparation of business presentations.
- Maintain all office files and distribution of internal and external mail.
- Liaise with internal department personnel (single point of contact for Operations inquiries).
- Manage small projects independently and advise the Director of Operations on status where required.
- Track expenses, prepare expense reports and manage credit card approvals adjusting GL allocations as necessary.
- Manage attendance and vacation approvals for Operations Management Team.
- Assist with planning and executing events: Managers visiting Operation Department areas, Floor Associate Recognition Days, Team Building exercises etc.
- Other duties as assigned.
**Education and Experience**:
- Post-secondary education in a related field is preferred.
- Minimum 2 years of administrative experience.
- Above average knowledge of Microsoft Office Suite.
- Able to deal with sensitive information while maintaining extreme confidentiality.
- Willingness to learn; ability to work independently and as part of a team; thrives in a fast-paced, ever-changing environment.
- Must have valid Driver’s License and access to a vehicle.
