**Position Summary**:
Temporary Part-Time Support Staff position (Four-month contract)
The Financial Aid Clerk supports the administration of the Ontario Student Assistance Program (OSAP) within the Student Financial Services Office. This role involves document management, data entry, and responding to student inquiries in accordance with policies and procedures established by the Ministry of Colleges and Universities (MCU). The incumbent also assists with confirming student registration and account balances to facilitate the timely processing of refunds and enrolment confirmations.
**Responsibilities**:
- Escalate complex inquiries to the appropriate Financial Aid Advisor or Coordinator
- Forward messages to other departments as needed
- Maintain and update the OSAP autoreply with current information for students
- Prepare and upload digital document packages for Bursary for Students with Disabilities (BSWD) and Non-Active Participation (NAP) processing with the assistance of the Financial Aid Advisors/Coordinator
- Review OSAP signature pages and approve or escalate as needed
- Update missing student numbers in the OSAP portal
- Assist in reviewing OSAP refund reports to determine appropriate refund recipients (student or National Student Loans Services Centre, as outlined by ministry policy)
- Enter data into the OSAP Bursary Recording System (BRS) for BSWD distribution receipts and reconciliation
- Support Financial Aid Advisors and Coordinators with OSAP-related processes
- File, store, archive, and/or shred OSAP documentation in accordance with Ministry guidelines
- Maintain shared calendar of key process dates
- Take meeting minutes as required
**Qualifications**:
- A two-year diploma in business, communications, social sciences or a related field is required
- Two years of related work experience, including a minimum of one year of practical experience in a student or client services environment working with large databases is required; experience in an educational environment is preferred
- Experience with OSAP system (OneKey) preferred
- Ability to deal with sensitive and confidential information and an understanding of the Freedom of Information and Protection of Privacy Act (FIPPA) legislation
- Excellent communication and client service skills and the ability to respond with tact, diplomacy, integrity, and professionalism
- Analytical thinking, problem-solving, and decision-making skills to interpret complex government and institutional policies and procedures
- Demonstrating empathy for different and complex financial situations
- Computer literacy, including MS Office with an emphasis on Excel skills
- Possess advanced numeracy skills and be comfortable working with detail while ensuring a high degree of accuracy
- Comfortable working both independently and in a team environment
