_Executive Assistant / Marketing Assistant / Reception_
Reporting to the President & CEO and COO, the Executive Assistant will have the primary responsibility of supporting the Executive Team in ensuring that the day-to-day operations run seamlessly.
To succeed in this role, you will be highly organized, creative, have a high level of communication both written and oral, possess a positive attitude, practice high levels of discretion and confidentiality, be graceful under pressure, and committed to completing assigned tasks and duties on time. You will thrive on ensuring attention to detail and accuracy in everything you do. Most importantly, you have a respectful attitude and you can handle tough situations in a positive and considerate manner.
**ESSENTIAL DUTIES AND RESPONSIBILITIES**:
**Executive Assistant**
- Gather, research and prepare communications material
- Preparing and maintaining Contractor Qualification Application for various general contractors
- New vendor profile setup and updating
- Preparing and Sending company memos
- Managing and Scheduling meetings, holiday parties and customer appreciation events
- Ordering and picking up food, office supply as required
- Making reservations
- Arrange travels for the executive and operations teams
- Purchasing game and show tickets
- Sending event invitations on behalf of company executives
- Purchasing gifts for customer appreciation
- Application submission to industry corporate growth award and recognition programs
- Corporate profile updates and maintenance on industry partner pages
- Scheduling of payments for industry associations and programs in order to maintain good standing and membership
**Marketing Assistant**
- Assist in the preparation of company brochures, reports and other marketing material
- Assist in drafting social media posts for company website
- Preparing and producing marketing documentation
- Preparing and assisting company Press Release in collaboration with other relevant teams
- Create and post digital content on social media
- Monitor the interactions on social media. Respond to inquires or direct to the appropriate respondent
- Stay up to date on emerging trends for social media
- Assist in creation of dynamic content creation for RFP (Request for Proposal) social media, and customer presentations.
- Design a wide variety of materials including event collaterals, posters, flyers, newsletters, print advertisements, e-blasts, website and social media graphics;
- Support other departments with internal training, branding, internal promotional needs and external content generation
- Campus marketing for recruiting purposes in line with HR efforts and their specific marketing needs
- Maintain style and branding guide and make sure that guidelines are adhered to national requirements
**Receptionist**
- Answer incoming calls. Provide general information, take messages, and direct callers to appropriate party or voice mail box.
- Greet visitors. Maintains log of visitors. Announces visitors to appropriate party. Direct guests and clients to the meeting rooms.
- Receive and sort mail and deliveries
- Provide general administrative and clerical support
The responsibilities of this position include, but are not limited to those listed above and other duties may be assigned.
**EXPERIENCE, SKILLS & KNOWLEDGE**
- Exceptional written, verbal and communication skills.
- Graduate with a Marketing degree, diploma, or certificate program in a recognized University or College is preferred but not required.
- Experience supporting a busy Executive Team in a high growth environment, seen as an asset but not required
- Experience working with a construction company is an asset but not required, seen as an asset but not required
- Experience creating and posting content on social media outlets for a company, seen as an asset but not required
- Proven experience working within a highly confidential, fast-paced and deadline-driven environment.
- Meticulous, self-motivated and able to work independently under pressure as well as part of a team.
- Drivers license and own transport essential;
- Demonstrated professionalism in dealing with sensitive and confidential issues, and individuals at all levels of the company.
- Superior MS Office skills - MS Word, Outlook, PowerPoint & Excel, and Adobe Acrobat.
- Capacity to handle interruptions regularly
- Strong organization and planning skills with ability to multi-task and handle changing/competing priorities.
