Job Description
LandBank Developments, as part of the Lansdowne Equity Ventures group, is seeking a detail‑oriented Commercial Property Coordinator to support our growing commercial portfolio. This role is ideal for someone who thrives in a fast‑paced environment, enjoys working with tenants and vendors, and is comfortable balancing property coordination, leasing administration, and general office support.
Key Responsibilities
Tenant Relations & Communication
- Serve as the primary point of contact for tenant inquiries and requests.
- Build and maintain positive tenant relationships through responsive communication and service.
- Communicate property notices, maintenance updates, and operational impacts to tenants.
- Support tenant retention initiatives and overall tenant satisfaction. Lease Administration Support
- Maintain tenant records, lease files, and related documentation.
- Track critical lease dates including renewals, expiries, commencement dates, and options.
- Assist with interpreting lease provisions related to operating obligations and tenant requests.
- Coordinate collection of required tenant documentation (insurance certificates, contacts, notices, etc.). Maintenance & Work Order Coordination
- Receive, log, and coordinate tenant maintenance requests.
- Liaise with operations teams, contractors, and service providers to ensure timely resolution.
- Monitor open work orders and provide status updates to tenants.
- Conduct follow-up to confirm completion and tenant satisfaction. Tenant Improvement (TI) & Project Coordination
- Schedule contractor access and ensure communication among tenants, vendors, and internal teams. Financial & Administrative Support
- Assist with invoice processing, coding, and tracking related tenant work and recoveries.
- Maintain accurate records in property management systems.
- Assist with preparation of reports and summaries for management. Property Operations Support
- Coordinate site access, keys, and building access credentials.
- Support emergency preparedness and after-hours communication procedures.
- Assist with compliance tracking and vendor documentation. Reporting & Systems
- Maintain accurate data within property management software (e.g., Yardi or equivalent).
- Generate reports related to tenant activity, work orders, vacancies, and projects.
- Ensure documentation is organized and audit-ready. Leasing Administration
- Draft lease offers, proposals, renewals, extensions, and termination documents.
- Populate lease templates and ensure accuracy prior to internal review.
- Prepare and issue formal notices (renewal notices, access notices, defaults, etc.).
- Assist with vacancy tracking, listing updates, and leasing documentation flow. Office Administration
- Order and manage office supplies and maintain inventory.
- Handle mail, courier deliveries, and incoming shipments.
- Coordinate meeting schedules, staff calendars, and general office organization.
- Assist with onboarding new staff (keys, access, workspace setup).
- Plan and organize staff events, meetings, and internal functions.
- Provide administrative support to management as needed. Marketing & Communications Support
- Update the company website with current listings and property information.
- Maintain leasing brochures, fact sheets, and basic marketing materials.
- Assist with property photos, signage coordination, and listing updates.
- Manage the company’s LinkedIn account, including posting updates and announcements.
- Support small marketing initiatives and ensure brand consistency. Preferred Qualifications
- 2-5 years of experience in commercial property management, tenant coordination, or property administration.
- Understanding of commercial leases and property operations.
- Experience with property management systems (Yardi, MRI, Angus, Building Engines, etc.).
- Strong organization and project coordination skills.
- Excellent written and verbal communication skills.
- Ability to manage competing priorities and meet deadlines.
- Proficiency in Microsoft Office (Excel, Word, Outlook). Pay: From $70,000.00 per year Benefits:
