About Kahnawà:ke Education Center

The Kahnawà:ke Education Center is an administrative body responsible to deliver locally controlled

elementary and secondary school programs and services for Kateri School, Karonhianonhnha Tsi

Ionterihwaienstahkhwa, and the Kahnawake Survival School. The KEC administers and supports postsecondary programs and their clients.

The KEC is governed by the Kahnawà:ke Combined Schools Committee (KCSC) who are responsible to

maintain and uphold all legislation, policies and procedures of the KEC.

Position Summary

Reporting to the Post Secondary Team Leader, and in conjunction with the KEC Post Secondary Team.

The Post-Secondary Student Support Clerk (PSSSC) will work directly with students of Post-Secondary

Support Program. The PSSSC is responsible to provide initial support to students and is responsible for

providing administrative support of the KEC Post Secondary Support Program. The support includes

accepted in this program. The position is responsible for maintaining Post Secondary Student files and

associated data. The position is also responsible for providing reception, secretarial, clerical and

administrative support.

Key Responsibilities

Accountability 1: Post-Secondary Student Services (60%)
- Work directly with students processing files, providing advice and helping resolve issues as needed
- Respond to enquiries from students and parents relating to tuition, reimbursements, etc.
- Assigning students to a Post-Secondary Counselor
- Provide information on and directing students to non-profit or subsidized organization where available
- Provide the required documentation of students by interviewing students who require financial

assistance and preparing the necessary documentation
- Maintain a suitable filing system of all documentation, correspondences, student expenditures,

transcripts, etc.
- Assists in fulfilling daily office procedures for the program by requisitioning and distributing allowance

payments and by closely monitoring student expenditures
- Provides current information on post-secondary programs and institutions
- Provides monthly updates on program activities to Post-Secondary Team
- Create and process purchase orders, cheques and payments relating to post-secondary
- Create SAGE INTACCT purchase orders for payments for other KEC departments if needed
- Participate in special projects and tasks as needed

KEC Post Secondary Support Program

Accountability 2: Post-Secondary file and Data management (20%)
- To create and maintain student files.
- To prepare a variety of documents, reports and correspondence
- To complete all secretarial/clerical functions of the program in an efficient and timely manner
- Responsible to produce reports on data as required
- To maintain databases of grades, attendance
- Files and data entry into the CANO database
- Create CANO post-secondary student payment request files
- Provide monthly information relating to cheques for student allowances, book refunds, and tuition

refunds

Accountability 3: Provides back up support to KEC Receptionist (20%)
- Direct the enquiries and the general public to the appropriate staff member
- Greet, assist and/or direct students, visitors and the general public
- Deliver the mail to post office

Skill & Competency Requirements

Core Competencies:
The necessary core competencies for this position include the ability to multitask and maintain attention to

detail, strong analytical, communication (both verbal and written), time management skills and the ability

to work within a fast-paced environment while meeting deadlines. The ability to work independently and

as part of a team while being able to build and maintain strong relationships with employees, managers

and counsellors are also required.

Technical Competencies:
Required technical competencies for this position include office administration skills, strong organization,

team building, problem solving, and decision-making skills. Proficiency in the use of technology and

computer programs such as Microsoft Office and accounting/payroll software is critical to the success of

the role.

Education, Knowledge & Experience
- DEP in Administrative Assistant or Secretarial Studies is an asset
- Two to three years of relevant administrative assistant experience is an asset
- DEC in Social Science or equivalent is an asset
- Effective time management, file management and clerical skills
- Self motivated and good organizational skills
- Good numeracy skills
- Data management competency; statistics and reporting
- Ability to mange and prioritize small projects with deadlines
- Experience in accounting/bookk
