**Job Summary**:
The Assistant Branch Manager is responsible for overseeing the day-to-day operations of the Administration Department at the Prince Albert branch. This role ensures efficient processing of order entries, invoices, and accounts receivable while maintaining high standards of accuracy and customer service. The Assistant Branch Manager supports the Branch Manager in providing leadership, training, and support to the admin and warehouse.
**Key Responsibilities**:
- Lead and supervise the admin team, providing training and ongoing support.
- Cross-train staff on all departmental functions to ensure operational flexibility.
- Manage billing processes and ensure timely collection of customer payments.
- Monitor and reconcile accounts receivable; conduct monthly reviews and follow up on overdue accounts.
- Prepare and send AR statements; perform collection calls for delinquent accounts.
- Ensure AR records are accurate and up to date for month-end financial reporting.
- Process and post customer payments accurately.
- Oversee procurement and inventory of office supplies.
- Manage special customer accounts (e.g., Lactalis and Canada Bread) and ensure proper order handling.
- Utilize ordering system (SPICE) for Northern stores; complete invoicing and required documentation.
- Support the sales team with ice cream invoicing, credits, and transfers between branches.
- Handle incoming calls and resolve administrative issues promptly.
- Act as Branch Manager in their absence, ensuring smooth branch operations.
- Maintain organized documentation for semi drivers, sorted by town and store.
- Uphold high standards of organization and efficiency in both office and warehouse operations.
- Perform other duties as assigned.
**Qualifications**:
- Diploma or degree in Accounting or Business Administration (asset).
- Proven experience in office management or administrative leadership.
- Strong knowledge of full-cycle accounts receivable processes.
- Excellent communication, problem-solving, and interpersonal skills.
- Highly organized with strong time management abilities.
- Proficiency in relevant software and systems (e.g., SPICE ordering system).
Pay: $54,000.00-$61,000.00 per year
