Are you passionate about bringing events to life and crafting unforgettable experiences? We are seeking a dedicated **Event Coordinator** to play a pivotal role in planning and delivering exceptional experiences. From corporate functions to community celebrations, you will be at the heart of every detail, ensuring seamless execution and memorable results during this 19 month leave replacement.
**Key Responsibilities**:
- Serve as the primary point of contact for clients, managing inquiries and bookings for events such as trade shows, sport hosting events, team-building activities, corporate functions, receptions, and meetings.
- Facilitate logistics of events, including creating detailed event orders, booking spaces, and preparing facility rental agreements.
- Collaborate with the marketing team to effectively promote and market upcoming events, ensuring alignment with Richmond Oval standards.
- Lead client site visits, presenting venue options and capabilities while fostering positive relationships.
- Manage logístical elements such as staffing needs, room layouts, and rental agreements to ensure smooth operations.
- Provide exceptional service by preparing quotes, negotiating agreements, and ensuring timely receipt of necessary documentation, payments, and insurance.
- Organize and oversee Oval-hosted and non-profit events, including sports days, fundraisers, and community celebrations.
- Contribute to internal team initiatives and take on additional duties as required.
**Qualifications**:
**Education and Experience**:
- A minimum of 4 years experience or an equivalent combination of education and experience will be considered.
- Completion of an Event Planning Certificate, Diploma or related discipline.
- Proven experience in event coordination, including planning and facilitation.
- Proven knowledge of preparing Facility Rental Agreements.
- Successful completion of a Criminal Record Check.

- Strong organizational skills with exceptional attention to detail and multitasking abilities.
- Excellent communication and customer service skills, with a professional and approachable demeanor.
- Financial acumen, including experience with budgets and reporting.
- Proficiency in event management tools and software, with knowledge of Xplor, and Illustrator considered an asset.
- Ability to work independently and as part of a dynamic team.
