Dental Office Manager

**Overview**
**Responsibilities**:
**Operational Management**
- Oversee the daily administrative operations of the dental clinic.
- Maintain and improve office workflows, systems, and processes.
- Ensure smooth patient flow from check-in to check-out.
- Manage inventory, supplies, and vendor relationships.
- Coordinate maintenance and repair of office and clinical equipment.
**Staff Management**
- Supervise, train, and support front-office and administrative staff.
- Assist in hiring, onboarding, scheduling, and performance evaluations.
- Foster a positive and collaborative team culture.
- Develop staff training programs related to customer service, HIPAA, and office procedures.
**Patient Experience**
- Ensure a friendly, professional, and patient-centered environment.
- Resolve patient concerns or escalated issues in a timely manner.
- Oversee patient scheduling, confirmations, and appointment optimization.
- Monitor patient feedback and implement improvements.
**Financial & Administrative Tasks**
- Oversee billing, collections, insurance claims, and account reconciliation.
- Monitor daily, weekly, and monthly financial reports.
- Assist with budgeting and cost-control initiatives.
- Ensure compliance with dental insurance requirements and coding guidelines.
**Compliance & Quality Control**
- Maintain compliance with HIPAA, OSHA, infection control, and state dental regulations.
- Ensure practice policies and procedures are current and followed.
- Support documentation accuracy and audit readiness.
- Coordinate continuing education and safety training.
**Qualifications**:
**Required**
- 2-4+ years of experience in dental office administration or clinic management.
- Strong knowledge of dental terminology, scheduling systems, and insurance processes.
- Excellent leadership, communication, and organizational skills.
- Proficiency with dental practice management software preferably Tracker.
- Ability to multitask, prioritize, and problem-solve in a fast-paced environment.
**Preferred**
- Associate’s or Bachelor’s degree in business administration, healthcare management, or a related field with dental background.
- Experience managing a multi-provider practice.
- Knowledge of HR procedures and performance management.
