We are currently seeking an outgoing, motivated, and organized Client Contact Representative to join our team.
**Job Overview**:
Key Responsibilities for this position are as follows:
**Client Engagement**:
- Proactively call existing and potential clients to book appointments with advisors (minimum 150 calls/week).
- Maintain a client-focused approach, ensuring a positive experience during all interactions.
- Follow up with clients as needed to confirm appointments and address any inquiries.
**Reception Duties**:
- Greet and assist clients and visitors in a professional and courteous manner.
- Answer incoming phone calls, directing them to the appropriate personnel or department.
- Manage the front desk area, ensuring it is well-organized and welcoming
**Administrative Support**:
- Add**,** maintain, and update client records in the CRM system, ensuring accuracy and confidentiality.
- Assist with scheduling and coordinating meetings for advisors as required.
- Prepare and distribute relevant documentation for client meetings and engagements.
- Handle general administrative tasks, including filing, data entry, and correspondence.
- Receive payments from clients and process transactions accurately.
- Assist with client billing notices and inquiries; ensure timely invoicing and payment processing.
- Support programs and show initiative to build multi-client relationships
**Collaboration**:
- Work closely with advisors and other team members to ensure seamless communication and service delivery.
- Participate in team meetings and contribute to improving client engagement strategies.
**Qualifications**:
- High school diploma or equivalent.
- Proven experience in a client-facing role, preferably in a reception or administrative capacity.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office Suite and experience with CRM software.
- Experience with payment processing and billing systems is a plus.
- Excellent organizational skills and attention to detail.
- Ability to multitask and manage time effectively in a fast-paced environment.
- A friendly and professional demeanor, with a strong focus on customer service.
- Typing speed of 40wpm+ with accuracy
- Initiative to learn new things
- Out-going personality & works well in a team environment

Pay: $42,000.00-$50,000.00 per year
