We have an exciting opportunity for an Executive Coordinator (Executive Assistant III) to join the Office of the President in a full-time continuing appointment. A key member of the President’s Office team, you will report to the Chief of Staff and Strategic Initiatives and provide senior level coordination and administrative support to the Office of the President. You will be responsible for the coordination, completeness, and accuracy of briefing notes and other materials; establishing office protocols and processes; and, supporting the daily operations by ensuring that administrative services align with the expectations and meet the needs of the President. In addition, you will supervise the Executive Assistant, in coordination with the Chief of Staff, to ensure the effective and efficient operation of the office and comprehensive support to the President.

Key responsibilities include:

- Leading the coordination and administration of programs, projects, and processes in the Office of the President;
- Managing the administrative budget, financial, and asset management processes;
- Acting as a point of contact in the Office of the President and resource for senior administrative work;
- Ensuring Executive Council runs smoothly and effectively, which includes leading the coordination of agendas and the compilation and distribution of meeting materials, drafting briefing notes and reports when necessary;
- Tracking, coordinating, and assisting with the flow of content for Executive Council, which entails collaborating with the Chief of Staff, other executive offices, and the Governance office;
- Recording meeting notes and ensuring follow-up of action items at Executive Council meetings;
- Evaluating, redirecting, and responding to requests to the President’s Office;
- Developing documents, presentations, and speaking notes;
- Researching errors, issues, and discrepancies, resolving, or escalating when necessary; and
- Organizing events and meetings for the Office of the President.

**SKILLS**

- Strong attention to detail and a high level of accuracy in completing tasks;
- Tact and diplomacy skills;
- Excellent relationship building and communication skills;
- The ability to work in a fast-paced, demanding office environment; and
- Advanced proficiency with Microsoft Office.

**QUALIFICATIONS**
- A minimum of a diploma in Office or Business Administration.
- A minimum of eight (8) years of related progressive experience providing executive support for senior executives.
- Experience in the post-secondary or government is considered an asset.
- Equivalent combinations of education and experience may be considered.
