The Client Coordinator, Referrals is accountable to the General Manager, our in-house Specialists, and hospital Medical Director. The structure and communication of each case will be lead by the veterinarian in charge and the referral coordinator will assist the care team with the duties listed below. The referral coordinator will also collaborate with other client care specialists and emergency department staff to provide consistent and seamless customer care to referral clients.
**Duties**
- Initiate and maintain referral files and medical records for future appointments to each individual specialist’s preferences and needs.
- Schedule initial consultations and recheck examinations with referral clients in a timely manner.
- Initiate and maintain ongoing communication with the referring veterinary community by sending specialist reports, being point person for any client communications, as well as communication liaison for specialist veterinarians as asked.
- Create standard estimates and develop in-depth knowledge of specialty veterinary conditions and procedures.
- Customize pertinent financial and care documents as requested by specialist vets.
- Possess a strong understanding of pet insurance policies as well as third-party financing options.
- Provide effective communication between the emergency care department and specialty care departments and any outside specialty service providers on-site.
- Prepare for next day appointments as needed including placing reminder calls, prepare files as needed in collaboration with specialist doctors and specialist support staff.
- Maintain the outpatient ultrasound schedule at VAERC.
- Assure specialty schedules are updated with any changes.
- Help organize CE events at VAERC

**Special Skills**

Knowledge of companion animal breeds, veterinary terminology, and common veterinary conditions and procedures is necessary for success in this role.

**Salary**: $17.00-$19.00 per hour
