Shipping Coordinator

We are a growing and very successful leading agricultural product company and distributor of minerals, feed ingredients, feed additives and pet specialty ingredients. Our 20 warehouses positioned throughout North America support our distribution capabilities and allow us to serve our diverse customer base across Canada and the U.S.

**General Responsibilities**

The Shipping Coordinator is responsible for safe and efficient shipping, receiving and storage of materials including mechanical and manual material handling methods.
- Maintains an accurate log sheet of daily moves
- Prepare bills of lading through ERP system to ensure accuracy
- Attach all certifications, matrixes, samples and any other items required by customer orders
- Account for all material and paperwork flow to office
- Greet visitors and carriers and maintain communication as they wait to be loaded/unloaded.
- Handle customer inquiries and dispatch to the appropriate representative.
- Update the PMI daily schedule and record discrepancies.
- Call and ensure prompt pick-up/delivery schedules through truck lines per routing (sales, customer, and supervisor)
- Collaborates and communicates with logistics, customer service representatives, service providers, and others involved in the shipment and receipt of products.
- Schedule outbound pickups by customer.
- Print work orders for the warehouse operators and print labels to identify the customer.
- Ensure trucks are loaded per loading instructions
- Check all files/orders/customer sequence for possible loads/late orders and notify shipping supervisor
- Book appointments and reschedule for inbound carriers.
- Work with the sales teams when a discrepancy occurs on a ship bill.
- Work closely with warehouse lead hands and provide direction for paperwork/carrier and customer.
- Work with Invoicing department and provide information with paperwork issues.
- Send US customs to outside carriers.
- Provide direction for dropping trailers in yard with outside carriers.
- Order Office/Warehouse supplies through the company website.
- Update warehouse bulletin boards including health and safety information
- Work with PMI drivers to assign dock times.
- Comply with all health and safety regulations and workplace health and safety policies
- Understanding of TDG
- Monitor the customer pickup paperwork and provide direction to the warehouse personnel.
- Assign paperwork according to pickup times and shipping dates.
- Maintains a clean, neat, and member-ready area.
- Engages with vendors and drivers with a positive attitude.
- Provides additional backup support for shipping and receiving departments
- Communicate non-compliance issues to team lead
- Other duties as assigned

- Works in Shipping Office
- Sometimes required to go onto the warehouse floor
- Fast paced, demanding work environment

**Requirements**:

- At least 2 years shipping coordinator experience preferably with a manufacturing or agricultural company
- Diploma in related field or demonstrated experience
- Knowledge of ERP systems is preferred but not mandatory
- Software knowledge of Microsoft Office including Outlook, Word, Excel,Teams
- Superior communication skills both verbal and written; active listening skills
- Excellent organization skills with attention to detail
- Strong problem solving and analytical skills
- Self-motivated, high energy an engaging level of enthusiasm, a positive outlook, and a sense of humour
- Enthusiastic about delivering excellent service
- Highly professional, reliable and confident
