This position is 100% onsite due to the nature of the work.

We are seeking a highly capable Executive Assistant and HR Administrator to join our team and provide comprehensive support to our President and Executive Department.

You will manage mostly business-related tasks for the team such as creating reports, organizing travel and accommodation, taking minutes, and other organizational tasks. To be successful in this capacity, you should have a thorough understanding of the entire Microsoft Office suite, be highly quick at problem-solving, and have previous experience as an Executive or Administration Assistant

In this role, you will be responsible for efficiently processing employee data, keeping company policies up-to-date, and assisting in the hiring process.

Your exceptional organizational skills and familiarity with HR functions will contribute to the smooth running of all HR operations.

You will play a crucial role in maintaining accurate employee records, ensuring compliance with HR policies, and promoting effective communication within the organization.

Your attention to detail and ability to handle confidential information with discretion will be essential in this role.

**Responsibilities**
- Managing and organizing meetings and appointments, often controlling access to the manager/executive
- Booking and arranging travel, transport, and accommodation
- Maintaining physical and digital personnel records like employment contracts and PTO requests
- Organizing events and conferences
- Reminding the manager/executive of important tasks and deadlines
- Typing, compiling, and preparing reports, presentations, and correspondence
- Managing databases and filing systems, updating internal databases with new hire information
- Liaising with staff, suppliers, and clients
- Gather payroll data like bank accounts and working days
- Publish and remove job ads
- Respond to employees’ questions about benefits (for example, number of vacation days they’re eligible for)

**Requirements**:

- A minimum of 5 years’ administrative experience preferably in an Executive Assistant role
- High school diploma
- In-depth understanding of entire MS Office suite. (Excel, PowerPoint, Word, and Outlook)
- Ability to organize a daily workload by priorities
- Must be able to meet deadlines in a fast-paced quickly changing environment
- A proactive approach to problem-solving with strong decision-making skills
- Professional level verbal and written communications skills in English
- Work experience as an HR & Admin Officer, HR Administrative Assistant or similar role
- Basic knowledge of labor legislation
- Experience using spreadsheets
- Organizational skills
- Good verbal and written communication skills

**Salary**: $50,000.00-$55,000.00 per year
