Corporate Services Associate

The Corporate Services Associate plays a key role in connecting day-to-day operations with the broader goals of the Corporate Services team. This role owns the central ticketing system, maintains the corporate calendar, supports KPI tracking and dashboard reporting, and plays a central role in internal communications and process improvement. The CSA ensures cross-departmental requests are triaged and resolved efficiently, supporting high-functioning service delivery across HQ and franchise operations.
Reporting Responsibilities
The Corporate Services Associate reports directly to the VP, Corporate Services.
Education Required
- A degree or diploma from a recognized college or university is required.

- Ability to plan projects that may take up to one year to complete.
Skills, Knowledge and Experience
- Two to four years experience in operations, corporate services, or service coordination roles. Strong reporting and analytical skills; experience with Power BI or similar dashboards/reporting tools a plus.
- Proficient in Microsoft 365, Teams, and SharePoint.
- Experience in supporting senior leadership, managing cross-departmental initiatives, and maintaining office operations with a focus on delivering high-quality service and maintaining organization efficiency.
- Strong project management skills, with a proven ability to lead and coordinate multiple projects simultaneously, ensuring timely and efficient delivery.
- Excellent communication and interpersonal skills.
- Exceptional organizational skills and the ability to multitask effectively.
- Experience with CRM software (knowledge of Dynamics is a plus).
- Detail-oriented with the ability to handle sensitive information confidentially.
- Proactive and adaptable, with a willingness to assist across various departments.
- Strong problem-solving skills and an ability to work independently.
- Familiarity with internal service desk/ticketing platforms preferred.
- Proven ability to juggle priorities, manage timelines, and communicate effectively across functions.
Specific Responsibilities
- Supporting the VP Corporate Services/Project Support
- Provide high-level administrative and operational support to the VP Corporate Services, ensuring smooth execution of daily tasks and key initiatives.
- Assist with managing and coordinating key projects, ensuring deadlines are met and resources are effectively allocated.
- Serve as a reliable point of contact for project updates, tracking progress, and identifying potential roadblocks or risks.
- Provide reporting and analytical support.
- Help with internal and external survey creation, distribution, and analysis providing insights and reports.
- Other duties as assigned.
Operations Bridge & Ticketing System Ownership
- Serve as the primary administrator of the internal ticketing system, ensuring all internal service.
- Requests are logged, triaged, routed, and tracked to completion.
- Generate reports on ticket volume, resolution timelines, and trends to inform resource planning.
- Provide insights to improve ticket resolution processes and user satisfaction.
Corporate Calendar & Coordination
- Maintain and manage the centralized corporate calendar, ensuring key events, deadlines, PD days, and communications are well tracked and aligned across departments.
- Act as point person for aligning corporate, franchise, and academic timelines.
KPI Reporting & Dashboards
- Own the collection, consolidation, and reporting of KPIs across Corporate Services departments.
- Build or maintain dashboards to visualize performance metrics and trends.
- Partner with department heads to ensure timely and accurate data submissions.
Project & Event Support
- Assist the VP with cross-functional initiatives and strategic projects.
- Support internal and external event planning in collaboration with the Office Coordinator.
Franchise & Corporate Operations Liaison
- Respond to incoming inquiries related to Spirit of Math Service (non-academic) from franchisees and HQ staff via the ticketing system or central contact channels.
- Ensure smooth hand-offs and track follow-ups until resolution.
Process & Resource Management
- Maintain internal process documentation and team playbooks.
- Create templates, checklists, and resource materials to support service standards.
HR and Employee Support
- Assist HR with employee onboarding, setting up new employees, and organizing orientation materials.
- Help coordinate employee activities, recognition programs, and team-building events.
- Support HR with administrative tasks such as filing, maintaining records, and tracking training compliance.
Administrative Support and Backup Duties
- Serve as secondary support for office management and reception coverage when the Office Coordinator is unavailable, including but not limited to:
- Act as the first point of contact for greeting visitors, families, and guests with a friendly and professional demeanor.
