**Is this role right for you? In this role you will**:
- Serve all customers (including telephone calls) and respond to their needs or redirect them to the appropriate person, to ensure a response within a reasonable time.
- Receive, sort and prioritize mail, taking into account action items and due dates, to ensure timely responses and action taken.
- Perform daily mailroom tasks and ensure all documents or deliveries reach our internal employees correctly.
- Accept packages and arrange courier service to ensure timely distribution of packages and documents.
- Manage the receipt and processing of shipments and deliveries from head office.
- Coordinate meeting rooms and conference calls ensuring action items and deliverables are discussed.
- Coordinate all internal communications for staff, including updating internal documents, including telephone lists.
- Organize and maintain various filing systems to track and store data and documentation and enable easy retrieval of information.
- Manage the inventory of office equipment and supplies well and ensure that orders are placed on time.
- Distribute office equipment and supplies and ensure all storage areas are properly stocked.
- Participate in activities related to security and keyholder responsibilities, including producing access cards and opening and closing the office and cooperating with building security.
- Pay invoices through our IT billing system
- Take care of catering and business dinners, as needed.
- Organize special events, as needed.
- Communicate with office equipment suppliers to ensure equipment maintenance, as needed; including the supplier of the coffee machine.
- Participate in special projects and other administrative functions, as required.

**Working Conditions**
- Work in a standard office-based environment.
- Monday to Friday from 8:30 a.m. to 5 p.m
