**Working for the Office of the Provost and Vice Provost China Institute**
The China Institute is a high-profile research centre and university think-tank reporting directly to the Office of the Provost and Vice Provost (academic). First established in 2005 with an endowment of 37 million, The China Institute has now become the largest interdisciplinary China study centre in Canada and one of the leading Institutes in North America focusing on cutting-edge and policy-relevant contemporary China studies.
Every year, the Institute organizes many international conferences, seminars and other events in Canada and in China that bring together senior government, industry and academic leaders from Canada, China and around the world. The China Institute receives multiple additional grants every year from government and granting agencies to provide research and training programs.
The Institute also runs a large granting program that provides significant funding to support China-related research, learning, community and campus-wide initiatives. Widely recognized as a go-to place for China expertise, members of The China Institute conduct on average 60-80 media interviews on an annual basis.
**Position**
The individual will also provide administrative support in planning complex international missions/trips, travel bookings, advising and preparing travel and immigration documents for visitors and fellows to The China Institute; coordinating selected international events and conferences as well as serving as the primary point of contact when Chinese language (Mandarin) is required.
**Duties**
- Financial duties: Serves as the internal control and the China Institute's resource person for all financial matters and assists the Operations Director in preparing budget, auditing, financial planning and reporting documents for the department.
- HR and payroll: Coordinates and prepares all pay-related forms, new person's ID number and advises foreign visitors on all types of documents and processes to work at the U of A.
- Mission trips and events coordination: By working with peers and internal and external partners, coordinates complex conferences and/or international mission trips including preparing the budget, itinerary, briefing materials and other travel arrangements. Translates and proofreads correspondence.
- Administration duties: coordinates curriculum and teaching materials; coordinates the China Institutes' grant programs. Fills in for the Director's Assistant's duties when needed.
**Minimum Qualifications**
- Undergraduate degree required. A combination of education and work experience will be considered.
- Fluency in Mandarin Chinese (spoken and written) is required.
- A minimum of 2 years of related office experience.
- Substantive knowledge of the University of Alberta's financial/purchasing policies and procedures.
**Preferred Qualifications**
- An accounting certificate or diploma is an asset.
