The **Valhalla Hotel & Conference Centre** is currently recruiting for Small Group Sales Manager. The Small Group Sales Manager is responsible for selling, planning, organizing, and managing the in-house details for smaller group and convention bookings (e.g., menus, setup, etc.). They ensure the maximization of guestroom and meeting space, revenues, and profit while delivering a quality product. The Small Group Sales Manager focuses on all aspects of event planning including VIP amenities, group resumes, completion of Banquet Event Order for groups with meeting/catering needs and all coordination needed after a contract is signed. They complete walk-throughs of guestrooms and/or function space prior to an event beginning and complete a group checklist.
**Duties and Responsibilities**
**_Reporting to the Area Director of Sales & Marketing, the Small Group Sales Manager will: _**
- Sells and confirms business to meet assigned market segments budgeted sales;
- Proactively serves small group and catering customers group room blocks, food and beverage, public meeting space logistics, and billing processes;
- Attends BEO meetings including distribution, GRC/Pickup meetings and internal meetings as required;
- Manages and converts inbound sales inquiries from all channels, passes any new leads developed through contacts to appropriate team member;
- Meets with and/or calls on existing guest accounts for current, future and repeat business needs or opportunities;
- Prospects for new and upcoming business opportunities in the market;
- Sells and confirms business as required to meet assigned market segments budgeted sales;
- Manage and convert inbound sales inquiries from all channels, pass any new leads developed through contacts to appropriate team member;
- Co-ordinate with various hotel internal departments related to book business to ensure customer satisfaction and hotel profitability;
- Assist in developing and implementing promotional projects in assigned market areas to increase sales volume and profitability;
- Attend events, conduct outside sales calls and organize sales missions, client events and blitzes;
- Conduct hotel tours and showcase hotel products and services;
- Point of contact for new closed business and bookings;
- Deliver client proposals and contracts;
- Negotiate pricing and concessions for accounts/functions (under direction of Area Director of Sales & Marketing);
- Increase Banquet revenues by upselling and growing catering sales;
- Responsible for prompt handling (within the business day) of inquiries and monitoring the efficient flow of paperwork relative to confirming function details with the client;
- Monitor group room blocks and pickup and generate detailed resumes for operating departments;
- Work with outside vendors to ensure client satisfaction for all events/groups;
- Follow up and generate thank you notes for clients post event and prompt follow up with negative client feedback;
- Maintain current knowledge of the facilities, services, rate schedules, and current marketing programs for the hotel;
- Identify and resolve all guest concerns/complaints to ensure the brand promise is delivered; coach and empower team members to do the same;
- Understand and comply with all health and safety rules, regulations and laws. Report unsafe acts or hazardous conditions ensure department equipment is maintained and operated in a safe manner;
- Act as a health and safety leader in the property, report all workplace incidents/accidents or near misses, wearing all Personal Protective Equipment required, and participation in fire safety plan;
- Ensure all COVID-19 Operating Protocols are followed and that the well-being of our guests and team members is always the priority;
- Perform other duties as assigned including assisting team members with their roles during peak periods;
- Liaise with all supporting departments to ensure a seamless experience for our guests, ensuring our vision of passionate people creating exceptional experiences is at the forefront of every interaction;
- Work closely with the Banquet department on operations and event execution and consistently deliver flawless events;
- Attend meetings and training as required;
- Perform other reasonable job duties as requested by the General Manager.
**Job Requirements**
- 2-3 years of hospitality experience or comparable sales experience, Hotel environment preferred;
- Experience managing and maintaining guest/client relationships;
- Demonstrated ability to interact in a team environment with several divisions/departments;
- Excellent communication skills (written, verbal, listening);
- Diploma or degree in Hospitality Management or Business, is a definite asset;
- Strong computer skills, with knowledge of Microsoft Office and Hotel Property Management Systems is a definite asset;
