Who you are

You will be responsible for providing advice and guidance to Colliers Business lines, providing HR advisory across many areas, including employee engagement, performance management, training and development, orientation and onboarding and diversity. You will also be responsible for handling employee questions and requests, always ensuring to resolve issues in a timely manner with the appropriate documentation.

You will develop job descriptions, conduct exit interviews, and provide employment law information to managers and employees upon request. You will also be responsible for developing strong relationships with key stakeholders across the business.

What you bring
- Degree and/or diploma in Business Management
- 3+ years experience in a similar role.
- Broad range of experience with HR programs and policies.
- Strong computer skills with previous experience working with MS Office programs.
- Excellent attention to detail with the ability to multi-task; and exemplary communication skills.
- Knowledge of current HR related federal, provincial, and local legislation and regulations.

What Success looks like
- I-9 Form compliance - verify I-9 forms are submitted correctly and on-time, perform regular audits, make corrections as necessary (per US Government guidelines)
- Audit Visa/Work Permit status and expiration; Notify of renewal, update I-9 form with new Visa detail, etc.
- Verify SSN/SIN
- Audit and maintain employee and IC files
- Coordinate employee file record retention per federal, state and provincial guidelines
- Coordinate Colliers standard of conduct policy acknowledgment for new acquisitions
- Prepare and distribute People Services quarterly compliance report to HRLT
- Manage HR Hero (US employment compliance partner) account, compliance news, internal notifications, etc.
- Coordinate cross-functionally within People Services to ensure compliance activity is known and managed
- Maintain Employee Handbook / Policy manual by gathering input from SMEs in functional teams
- Coordinate with third party (LaborLawCenter) to ensure all US offices have current employment law posters
- Complete assigned “Hire” business process tasks
- Verify all terms in Offer Letter are properly entered in Workday
- Enter and/or confirm referral bonus payments (Canada)
- Audit, complete and/or reassign outstanding tasks on terminations (Reassign or cancel)
- Submit People Services Invoices
- Reconcile monthly credit card for VP, People Services North America
- Coordinate internal People Services team member onboarding plan activities, equipment, workspace, access
- Create internal job amendment letters, as required
- Compile verification of employment letters, as required.
- Provide distribution lists from Workday to stakeholders
- Act as liaison with translation company for translation requests
- Maintain monthly non-integrated office data updates
- Maintain People Services SharePoint, access rights.
- Maintain People Services invoice tracker
- Maintain NA PS inbox and calendar
- Compile transition letters during integrations and other administrative duties as required
