We are currently seeking an **HR and Finance Administrator** to join our dynamic team. This role is ideal for a detail-oriented professional who has previous work experience and enjoys a mix of administrative and financial responsibilities.
**Key Responsibilities**
The HR & Payroll Administrator is responsible for managing payroll processing, HR documentation, confidential records, and assisting with recruitment. This role also involves financial tasks such as accounts payable (AP) management, credit card reconciliations, and sales team expense tracking. Additionally, the position provides administrative support to the management team.
- Payroll & HR Administration (60%)_
- Process biweekly payroll accurately and on time using ADP software, ensuring compliance with company policies and regulations.
- Prepare and manage HR contracts, offer letters, and other employment related documentation.
- Maintain confidential employee files, contracts, and HR records in a secure and organized manner.
- Respond promptly and professionally to employee inquiries regarding payroll, pay stubs, and leave balances.
- Assist with employee on-boarding and off-boarding processes, ensuring all necessary documentation is completed.
- Administer group insurance plans, including enrollments, terminations, and updates.
- Reporting & Compliance (15%)_
- Prepare and distribute T4 and Relevé 1 forms annually.
- Issue Records of Employment (ROEs) for departing employees as required.
- Ensure compliance with federal and provincial payroll regulations, including taxation, deductions, and reporting requirements.
- Financial & Expense Management (20%)_
- Manage accounts payable (AP) processes to ensure timely invoice payments and reconciliations.
- Perform credit card reconciliations for company accounts, ensuring accurate record-keeping.
- Process and track expenses for the sales team, ensuring proper documentation and approvals.
- Administrative Support (5%)_
- Handle confidential mail, agreements, and document storage.
- Provide general administrative support to the management team
**Qualifications & Requirements**:
- Education: Diploma or degree in Business Administration, Human Resources, Accounting, or a related field is preferred.
- Experience: Minimum of 8-10 years of experience in HR administration, payroll and/or financial administration.
- Previous experience in small business is a definite asset.
- Bilingualism: Fluency in both **English and French** (verbal and written)
- Strong knowledge of payroll systems and federal and provincial employment laws
- Excellent organizational and multitasking skills.
- Proven experience with hands-on involvement and excellent problem-solving skills
- Strong attention to detail and confidentiality.
- Ability to prioritize, meet deadlines, and handle multiple tasks in a fast-paced environment with mínimal supervision.
- Effective communication and interpersonal skills.
- Experience with accounting or payroll software is an asset.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
