**Key tasks for this position include**:
Our diverse and growing team requires an individual who thrives in agile and varied roles. This integral member of our team juggles multiple projects and timelines, overseeing our team, client, supplier and trade communications, coordination, ordering, invoicing, scheduling and tracking.

**Design & Staging Administrative Support**:

- Project budgets & quotes: prepare budgets and quotes for design and staging projects; track, update & balance; manage internal and client facing documentation
- Bookkeeping, invoicing and accounts payable: track job expenses, project spends and revenues; invoice clients and manage payments; track overdue payments and handle client follow-up
- Continuously optimize and organize internal accounting systems and processes
- Assist with employee timesheets for payroll
- Process and oversee office bills & orderings

**Design & Stage Team Assistant**:

- Manage founder, designer, project manager and staging schedules; foresee needs and proactively support to maximize our team’s productivity and impact (e.g. research, coordination, execution)
- Run errands, pick ups and provide other logístical support
- Maintain office & design centre cleaning and supplies
- Occasional support with staging and design production teams (e.g. sick days, vacation coverage)

**Marketing & Event Support**:

- Coordinate and support marketing programs & events
- Ideate and capture content for digital channels
- Monitor and respond to social media inquiries and comments

**Software & Application Proficiency**:

- Quickbooks Online; Telepay; PayFirma
- Trello, Slack, Canva
- Instagram, Pinterest, Facebook, MailChimp
- Google Suite: Gmail, Drive, Docs, Sheets, Slides etc

**Qualifications**:

- Degree/Diploma in Administration / Accounting from an accredited institution
- Administration and Accounting experience
- Great computer and digital skills
- Impeccably presented and professional with style
- Excellent client relation and customer service skills
- Excellent written and verbal English communication skills
- Hardworking, proactive and a motivated self-starter
- Willing to learn and able to follow orders with versatility
- Extremely organized and obsessively detailed
- An eye for numbers
- Ability to work independently and in a team with mínimal supervision
- Efficient and effective, able to work calmly under pressure and multitask
- Upbeat, positive and friendly

**Salary**: From $40,000.00 per year
