**Starting Salary**: $53,100 - $57,000 (commensurate upon related experience and skills)

The Associate Specialist, Conservation Operations is responsible for providing operational support to Conservation programs and projects while enabling cross-integration between all departments within WWF-Canada.

The Associate Specialist will assist with the ongoing implementation of standard operational processes across WWF-Canada’s Conservation Programs to ensure the transparent and timely sharing of information and, reliable reporting to inform decision making by various levels and teams. These operational processes primarily include annual Conservation planning, budgeting and forecast maintenance, conservation grant and contract management, and general Conservation administrative support.

**Responsibilities**:

- Coordinate various contract management processes, including tracking timelines and payments, reviewing, and ensuring all deliverables are submitted, and coordinating amendments as needed.
- Facilitate the development of third party agreements, including drafting documents, flagging organizational risks, ensuring policy & regulatory compliance, and securing all internal approvals.
- Prepare and/or support the development and updates of various budgets, including preparing annual fiscal planning and forecasting, funding proposals, government grant submissions, etc.
- Review project budgets and spending to ensure they are in line with donor funding restrictions and requirements.
- Prepare and submit invoices, payment requisitions, and staff credit card and reimbursement claims.
- Review and finalize assigned department’s staff cost allocations each month, ensuring charges and time allocations are accurate.
- Review and analyze monthly financial statements and quarterly reports, including updating workplans and budgets, submitting general ledger updates, amending the rolling forecast, and recommending adjustments.
- Troubleshoot operational and financial inquiries from various teams.
- Review of Fundraising Outlook Tracking for Conservation Pledges and Prospects.
- Schedule and support virtual team meetings as required.
- Contribute to the development and implementation of new operational processes and procedures to increase efficiencies.
- Assist the Finance & Planning team, as required, with other related duties contributing to the mandate and successful operation of the department and organization.

**Qualifications**:

- 2+ years experience in analyzing and interpreting financial data, contract management, and/or project coordination.
- Experience in budget coordination.
- Able to analyze and interpret basic financial data.
- Understanding of basic vendor contract terms and conditions.
- Strong project coordination skills, with the ability to assemble accurate, concise and clearly written project work plans and reports while adhering to deadlines.
- Related post-secondary education in project coordination, accounting, etc. an asset.
- Working knowledge of accounting and financial management an asset.
- 2+ years’ experience in program management is an asset.
- Experience in contract or grants program administration an asset.
- Experience working in a non-profit organization an asset.
- Able to work independently with mínimal direction, and collaboratively with various teams.
- Excellent interpersonal and written communication skills, with a strong attention to detail.
- Familiarity with First Nations Principles of OCAP, BC First Nations Data Governance Initiative, or other similar data sovereignty guidelines an asset.
