**Responsibilities**:
OVERALL PURPOSE:
The Maintenance Assistant maintains and updates work orders in the system; provides administrative support to shift scheduling for maintenance employees in the assigned department(s); maintains records of time sheets for maintenance employees in the assigned department(s); provides administrative and clerical support to maintenance managers, supervisors and department staff; facilitates processes to deal with unmatched invoices and/or compiling back-up documents to support an expenditure; supports Maintenance Technical Support Administrator with shift scheduling for all maintenance employees in the assigned department(s); supports the Maintenance Technical Support Administrator with administrative and clerical tasks when needed; provides short duration coverage as necessary for the Operations Maintenance Centre’s main reception and performs related duties as assigned, such being items of a minor nature which do not affect the value of the job.
RESPONSIBILITIES:
Maintains and updates work orders in the systems:
Checks coding and work order authorizations ensuring the data is complete and accurate
Inputs and updates work order data into the systems (CMMS and EAM)
Receives and distributes requisitions for approvals; creates E-requisitions upon request
Picks up, separates, and distributes reports and maintains files
Provides administrative support to shift scheduling for maintenance employees in the assigned department(s):
Produces forms for annual sign-up; inputs shift and vacation requests for annual sign-up for all employees in the department
Updates and produces weekly staff schedule
Contacts employees in pre-established order for filling vacant shifts and ensures employees meet specified requirements (first aid, hostling, etc.) and minimum coverage is maintained
Contacts employees for scheduled overtime callouts as directed according to overtime equalization policy and updates the overtime equalization list
Maintains status of employees on short
- and long-term disability (STD and LTD) as well as on gradual return to work (GRTW), working with Occupational Health to ensure information is up to date and GRTW Plans are populated
Maintains timecard/timesheet records for maintenance employees in the assigned department(s):
Delivers, collects and checks timecards/timesheets, ensuring the correct and complete information is entered into the EAM system and MyTime
Assists employees in completing various time sheets and coordinates requests for time off (annual vacation requests, sick leave, LOA with and without pay) as well as facilitates inquiries regarding benefits and reimbursements
Assists employees, supervisors and Payroll on timecards/timesheets (punch in/out times) and pay related problems where appropriate
Distributes paystubs
Provides administrative and clerical support to maintenance managers, supervisors and department staff by:
Responds to requests for information, documents and files from department employees, supervisors and managers
Coordinates meetings for the department, including coordinating conference rooms, catering, conference lines, maintains minutes of all meetings and ensures follow-ups
Facilitates arrival of visitors for the department on a daily basis
Coordinates Service Support Vehicle & Non-Revenue Vehicle assignments and assists with preparing monthly vehicle mileage data
Produces a variety of correspondence, updates forms, files, prepares input for a variety of projects, maintains manuals and various record keeping systems, answers telephones, maintains stationery, updates bulletin boards, and processes mail
